Job summary

Job Summary

With an eye for detail, process improvement, and collaboration this position provides administrative, data management, and program participant support to programs and projects. The Project Coordinator supports programs by processing incentives, maintaining accurate program documentation, monitoring information requests, meeting/webinar coordination, and ensuring data quality and compliance. This role provides excellent program participant support by gathering necessary information, answering program and product questions, and serving as a resource for both internal and external stakeholders. The Project Coordinator also may assist with operational process improvements and support program administration.

Location

This is a hybrid position, and the ideal candidate will be located in Winooski, Vermont or Washington, DC.

Essential Functions
  • Review, verify, and facilitate incentive payments, ensuring all required information is complete, accurate, and compliant with program requirements
  • Enter and maintain program data in software systems, ensuring data quality, integrity, and compliance
  • Provides administrative support, including data entry/collection, records management, and reporting
  • Communicate with program participants verbally and in writing to gather missing information, resolve discrepancies, and provide program and product information
  • Maintain up-to-date knowledge of program and product eligibility requirements to provide accurate and timely information to interested stakeholders
  • Conduct quality assurance checks on project documentation, data, and internal systems to support continuous improvement
  • Identify and support process improvements that enhance operational efficiency and program effectiveness
  • Provide feedback and insights to internal teams to support continuous improvement and program optimization
  • Provides and models exemplary support to both external and internal customers, assisting with program-related inquiries and requests
  • Supports special projects, such as aiding in the preparation of presentation materials or coordination of large virtual or in-person meetings/workshops/events
  • Other duties as assigned
Knowledge and Experience
  • Strong personal commitment to the mission, vision, goals, and values of VEIC
  • Minimum of one year of administrative or data entry experience, high school diploma or equivalent, or equivalent combination of education and experience
  • Experience providing excellent customer service to internal and external customers
  • Strong attention to detail, accuracy in data entry, and ability to manage multiple priorities in a fast-paced environment
  • Proficiency with word processing, spreadsheet, and database software, including Windows and Microsoft Office applications experience
  • Ability to handle sensitive and confidential information professionally
  • Ability to work independently and collaboratively as part of a team with minimal supervision
  • Ability to communicate effectively and professionally via email to external stakeholders
  • Strong interpersonal skills and oral communication skills
  • Familiarity with process improvement or continuous improvement concepts is a plus

Work Environment and Physical Requirements
  • This position primarily involves desk-based work with extensive collaboration and communication responsibilities. Physical requirements include:
  • Ability to remain stationary at a workstation for extended periods (typically 6-8 hours per day with regular breaks)
  • Regular use of computer, keyboard, mouse, and telephone/headset requiring fine motor skills and repetitive hand/wrist movements
  • Visual acuity to view digital screens, documents, and presentations for prolonged periods
  • Verbal communication abilities are sufficient for clear articulation during in-person and virtual meetings, presentations, and discussions
  • Auditory capabilities to participate effectively in conversations, conference calls, and virtual collaboration sessions
  • Cognitive focus for simultaneous management of multiple communication streams, projects, and stakeholder relationships
  • Occasional movement between meeting spaces, collaboration areas, and individual workstations
  • Minimal lifting requirements (typically under 15 pounds) for office supplies, equipment, or materials

Travel Requirements
  • No Travel Required
  • This position does not require regular travel. Occasional in-person attendance at company events or meetings (typically 0–2 times per year) may be encouraged, but participation is often optional or available virtually.
