Job Summary and Responsibilities

As our Project Coordinator NE, you will serve as the primary EMS super-user for conference room scheduling while providing essential administrative support to the Pulmonary Nodule Clinic, the Navigation Program, and the Research Department.

Every day you will manage the end-to-end coordination of multi-disciplinary conferences, maintain accurate patient tracking spreadsheets, and facilitate seamless communication between hospital departments, physicians, and clinical staff.

To be successful in this role, you will demonstrate exceptional organizational skills in managing complex schedules, clinical documentation, and logistics to ensure all departmental workflows and patient care initiatives operate efficiently.

• Serve as the ‘super-user’ for the Penrose Hospital EMS system, providing troubleshooting and support to authorized users while managing conference room scheduling and acting as the liaison between clients and hospital departments (housekeeping, nutritional services, security, etc.).

• Maintain accurate patient charts and Excel tracking spreadsheets by obtaining imaging, pathology, and lab results, while utilizing a ‘tickler’ file system to coordinate follow-up exams, authorizations, and physician reporting.

• Execute end-to-end coordination of multi-disciplinary conferences, including managing calendars, circulating case lists, preparing AV equipment and room seating, and ensuring all relevant documentation is finalized for physician review.

• Manage post-conference administrative requirements, including mailing PCP letters, submitting CME information to Medical Staffing, maintaining monthly MDC stat sheets, and communicating barriers to navigators and physicians.

• Assist Nurse Navigators and the Cancer Center Coordinator with patient management, record retrieval, and equipment maintenance, while overseeing supply procurement, catering requests, and office requisitions.

• Maintain annual spreadsheets for Skin and Prostate screenings, including patient follow-up correspondence, and manage the patient navigator ‘Flow Sheet – Quality of Care Metrics’ to ensure ongoing departmental compliance.

Job Requirements

• High School Diploma/GED
• Three (3) - Four (4) years medical office experience
• Knowledge of Excel spreadsheets and ACCESS database
