Job summary

Toyota Automated Logistics is seeking a Project Integration Coordinator to provide administrative, coordination, and operational support to the Project Integration team in Indianapolis.

Responsibilities include onboarding coordination, training documentation, meeting support, and maintaining project data. 2+ years of admin or project support experience and strong MS Office skills are required, with up to 25% travel to project locations.

Qualifications

  • Associates Degree in Engineering, Operations or related field.
  • 2+ years of Administrative, coordination or project support experience.
  • Strong organizational and time management skills with attention to detail.
  • Ability to manage multiple tasks and priorities in a fast paced project environment.
  • Proficiency with Microsoft Office tools (Outlook, Excel, Word, PowerPoint).
  • Experience working with project tracking, resource planning, or enterprise systems preferred.
  • Strong written and verbal communication skills.
  • Ability to work collaboratively with cross functional teams.
  • Experience supporting engineering, project management, or operations teams is preferred.
  • Familiarity with continuous improvement, SOPs, or Kaizen documentation is a plus.
  • Must be eligible to work in the USA long term without sponsorship.

Responsibilities

  • Provide administrative support for Project Integration activities, including subcontractor invoicing coordination and tracking.
  • Update and maintain FRT / ORT deliverable dates and intranet site updates.
  • Support onboarding and training documentation and scheduling.
  • Track and maintain training records and certifications.
  • Assist leadership with Summit planning and team meeting agendas.
  • Attend weekly meetings and capture notes, actions, and follow-ups.
  • Support SOP submissions, Kaizen documentation tracking, and training on new processes.
  • Help track department goals and progress.
  • Occasionally provide on-site support at project locations (up to 25% travel).
  • Perform other duties as assigned by Project Integration leadership.

Job description

The Project Integration Coordinator provides administrative, coordination, and operational support to the Project Integration team. This role is responsible for maintaining project data, supporting workforce and resource planning activities, coordinating onboarding and training documentation, and assisting leadership and team leads with meetings, documentation, and continuous improvement initiatives. The Coordinator plays a key role in enabling consistency, organization, and execution efficiency across the Project Integration function.

Job Functions
  • Provide administrative support for Project Integration activities, including:
    • Subcontractor invoicing coordination and tracking
    • Updating and maintaining FRT / ORT deliverable dates
    • Supporting updates and maintenance of the Project Integration intranet site
  • Organize and support workforce planning activities, including:
    • Planner task updates
    • SIQ resource demand data entry and maintenance
  • Support new hire onboarding, including:
    • Ensuring onboarding documentation readiness
    • Scheduling new hire orientation activities
    • Coordinating new hire hardware requests with IT
  • Track and maintain Project Integration training records and certifications
  • Assist Project Integration management with:
    • Summit planning support
    • Monthly and weekly team meeting agenda preparation
  • Attend weekly Project Integration meetings, capturing meeting notes, action items, and follow ups
  • Assist Team Leads with:
    • SOP documentation submittals
    • Kaizen documentation tracking and revision management
    • Support training activities related to new processes, standards, and Kaizen initiatives
    • Help track and report department goals and progress
  • Occasionally provide on site support at project locations (up to 25% travel)
  • Perform other duties as assigned by Project Integration leadership
Key Objectives
  • Ensure accurate, timely, and organized administrative support for Project Integration activities
  • Improve visibility and reliability of project deliverables, resource data, and training records
  • Support consistent onboarding and training processes for Project Integration team members
  • Enable Project Integration leadership and Team Leads to focus on execution by reducing administrative burden
  • Contribute to continuous improvement through documentation, Kaizen support, and process adherence
Travel Requirements
  • 25% overnight travel (Travel expenses paid by Toyota Automated Logistics)
