Job description

JOIN US

We are a growing general contractor looking for an organized, proactive, and detail-oriented Project Coordinator I to join our Business Operations team.

You'll work alongside another Project Coordinator to help keep construction projects organized and moving throughout the full project lifecycle. From project setup and contracts through active construction, submittals, change orders, project documentation, and closeout.

Some construction experience is helpful, but it is not required. We're willing to teach the right person. If you're a strong coordinator who communicates well, stays organized, follows through, and enjoys learning and solving problems, we want to hear from you.

WHAT YOU'LL DO

You'll work closely with Project Managers, Superintendents, Finance, subcontractors, vendors, and your fellow Project Coordinator to support the administrative side of our construction projects.

Your responsibilities will include:

  • Coordinate project setup and maintain accurate project files, documentation, trackers, and records.

  • Coordinate the administrative side of contracts, including documentation, tracking, signatures, follow-up, and recordkeeping.

  • Manage and track submittals, revisions, approvals, deadlines, and outstanding information.

  • Coordinate the administrative side of change orders, including documentation, tracking, status updates, and follow-up.

  • Monitor project deadlines, documentation requirements, and outstanding action items.

  • Support project schedules, permits, inspections, and other project-administration requirements as assigned.

  • Help keep communication and information moving between Project Management, Field Operations, Finance, subcontractors, vendors, and other stakeholders.

  • Coordinate project closeout documentation and follow up on outstanding requirements.

  • Identify missing information, potential delays, and administrative issues and proactively work toward resolution.

  • Help document and improve processes and workflows as our company grows.

  • Collaborate with and provide backup support to the other Project Coordinator.

  • Assist with other project, administrative, and operational responsibilities as business needs evolve.

WHAT WE'RE LOOKING FOR

We're looking for someone who is organized, dependable, detail-oriented, and proactive. You don't need to come in knowing everything about construction, we can teach the industry and our processes.

What matters is that you bring the core skills and mindset needed to succeed.

Our ideal candidate has:

  • Strong written and verbal communication skills.

  • Excellent attention to detail and organizational skills.

  • Strong follow-through and personal accountability.

  • Ability to manage multiple projects, deadlines, and priorities.

  • A proactive mindset—you notice what's missing and follow up rather than waiting to be asked.

  • Critical-thinking and problem-solving skills.

  • Comfort working with detailed documentation and tracking requirements.

  • Ability to work independently while collaborating effectively with others.

  • Confidence communicating with different personalities and roles.

  • Comfort learning and using technology.

  • Willingness to ask questions, learn new processes, and receive feedback.

  • Ability to adapt as priorities and business needs change.

Construction, project coordination, construction administration, contract administration, or similar experience is a plus, but not required.

We're willing to train someone who demonstrates the right combination of organization, communication, initiative, reliability, and ability to learn.

EDUCATION & EXPERIENCE
  • High school diploma or equivalent required.

  • Additional education or training in business, construction, project management, or a related field is a plus.

  • Previous project coordination, administrative, operations, or construction experience is preferred but not required.

  • Construction experience is a plus, but not required. We are willing to train the right candidate.

SYSTEMS YOU'LL USE

You'll regularly work with:

  • QuickBooks

  • Microsoft 365 - Outlook, Excel, Word, Teams

  • Google Workspace - Drive, Docs, Sheets

  • Fieldwire

Previous experience with QuickBooks or construction/project-management software is helpful but not required. You should be comfortable with technology and confident learning new systems.

SCHEDULE & FLEXIBILITY

This is a full-time, salaried position with a hybrid work arrangement. Regular in-office availability is required, with flexibility based on project responsibilities and business needs.

We care about accountability and results. You'll be trusted to manage your time responsibly while making sure your work is completed accurately and on time.

COMPENSATION & BENEFITS

Salary Range: $50,000-$55,000/yr.

Final compensation will depend on relevant experience, skills, qualifications, and demonstrated ability to meet the responsibilities of the position.

We also offer:

  • Bonus opportunity

  • Hybrid work schedule

  • Flexible scheduling

  • Unlimited PTO, subject to company policy and business needs

WHY JOIN US

We're growing, and we're actively building stronger systems and processes to support that growth.

You’ll have the opportunity to learn the construction industry, build valuable project-coordination skills, contribute ideas, improve processes, and take on greater responsibility as you develop.

You’ll also work alongside another Project Coordinator, so you're not expected to carry every administrative responsibility alone. We want our coordinators to communicate, share knowledge, provide backup, and work together to keep projects moving.

HOW WE WORK

Our values are Respectful, Tenacious, Reliable, Strategic, and Accountable.

We're looking for someone who brings those values to the way they communicate, solve problems, follow through, learn, and work with others.

If you're highly organized, detail-oriented, communicate well, enjoy solving problems, and want an opportunity to learn and grow in the construction industry, we'd like to hear from you.
