Job summary

Qualifications

Responsibilities

  • Coordinate project activities with Project Managers and technical teams to support fast-paced, successful project delivery.
  • Manage electronic and physical project documentation, including filing, document control, scanning, tracking, distribution, and record management.
  • Coordinate meetings by scheduling, preparing agendas, capturing actions, and following up on outstanding tasks.
  • Manage Outlook calendars, coordinate travel, and organize meetings with internal teams, clients, and stakeholders.
  • Review, coordinate, and assist with processing project documentation, including submittals, invoices, and other admin workflows.
  • Coordinate subcontractor documentation and assist with project setup, closeout, and ongoing admin activities.
  • Monitor project schedules, milestones, action items, and deliverables to keep projects on track.
  • Communicate professionally with clients, consultants, subcontractors, and project teams as a trusted coordination contact.
  • Handle office supplies, equipment, shipping, printing, and other operational support as needed.
  • Coordinate domestic and international travel arrangements and itineraries.
  • Research local conditions and provide logistical support for domestic and international project activities.

Position Summary:

The Project Coordinator serves as an integral partner to our Project Managers, helping drive the day-to-day execution and coordination of projects from initiation through closeout. Reporting to the Administration/Coordination Group Leader, this highly collaborative role goes beyond traditional administrative support by taking ownership of project coordination activities, anticipating project needs, proactively resolving issues, and helping keep projects organized and on schedule. This is far more than a traditional administrative support role. Successful Project Coordinators become trusted business partners who help Project Managers increase capacity, improve project execution, and deliver exceptional client service.

Working closely with Project Managers, technical teams, clients, and project stakeholders, the Project Coordinator develops an understanding of each Project Manager’s workflow, communication style, and project priorities. As Project Coordinators gain experience and build trusted partnerships with their Project Managers, they assume increasing responsibility throughout the project lifecycle, becoming an extension of the Project Manager and creating the capacity for Project Managers to focus on technical leadership, client relationships, and strategic project delivery.

In this role you will join a dedicated professional team working to make a difference for our Federal Government Clients to:
  • Partner proactively with Project Managers and technical teams to coordinate project activities and support fast-paced, successful project delivery.

  • Coordinate subcontractor documentation and assist with project setup, closeout, and ongoing project administration.
  • Monitor project schedules, milestones, action items, and deliverables to help ensure projects remain organized and on track.
  • Communicate professionally with clients, consultants, subcontractors, and integral project teams while serving as a trusted point of coordination/contact.
  • Manage office supplies, equipment, shipping, printing, and other operational support activities as needed.
  • Coordinate domestic and international travel arrangements, including itineraries, and logistical planning
  • Research local conditions and provide logistical support for domestic and international project activities.
What Success Looks Like in This Role:

Successful Project Coordinators are trusted partners who become an extension of their Project Managers. They proactively anticipate needs, adapt to each Project Manager’s work style, and continuously expand their project knowledge to assume greater responsibility over time. Rather than simply completing assigned tasks, they take ownership of project coordination activities, solve problems before they become obstacles, and contribute directly to the successful delivery of projects while creating additional capacity for Project Managers to focus on strategic and technical leadership.

The base salary range for this position is $79,500.00 to $110,800.00. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
