Job summary

InfraSource is seeking a Project Coordinator to develop bids and proposals for underground gas transmission and electric distribution projects. You will coordinate with operations, accounting, and field teams to ensure accurate project plans and documentation.

You will assist onboarding, prepare project schedules in MS Project, review subcontractor invoices, and help manage change orders and close-outs in a fast-paced utility environment.

Qualifications

  • Bachelor’s degree in Construction Management, Engineering, Business, or related field (or equivalent).
  • 1–3 years of project coordination experience in utility construction or infrastructure services.
  • Basic understanding of Utility/Electric Industry standards.
  • Knowledge of construction documentation and permits preferred.
  • Strong organizational and multitasking skills in a fast-paced environment.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Ability to communicate effectively with both field and office teams.

Responsibilities

  • Assist Operations with onboarding new employees.
  • Assist in project office set-up.
  • Schedule work and crew using MS Project for internal and external use.
  • Review invoices from subcontractors to confirm production and accurate accounting.
  • Work with Accounts Receivable and Billing Department to ensure revenue accuracy.
  • Create purchase orders and set up projects in accounting system.
  • Maintain project files and customer contact information.
  • Assist in development of change order requests and project close-out.

About this Role

IFS InfraSource is looking for an experienced Project Coordinator to join our team. The Project Coordinator will create and develop bids and proposals for the management and construction of underground steel and polyethylene natural gas transmission and distribution systems, and underground electric distribution systems. Typical projects include natural gas and electric system installation, relocation and replacement projects in the public rights-of-way and private easements.

What You'll Do
  • Assist Operations with onboarding new employees (when required).
  • Assist in project office set-up
  • Miss Utility Locate Tickets
  • Create and communicate the project plan: safety orientations, training, etc.
  • Accruals tracked weekly and turned in at the end of every week
  • Scheduling work and crew make ups on MS Project for internal and external use.
  • Weekly manager and cost per man hour reports to stakeholders
  • Review invoices from subcontractors to confirm production and accurate accounting
  • Work with Accounts Receivable and Billing Department to make sure all revenue is accounted for and accurate
  • Create purchase orders
  • Work with internal support groups (Finance & Accounting, Billing, etc.) to set up projects in accounting system
  • Program task management (as assigned by Manager)
  • Maintain program file system (physical and electronic)
  • Maintain customer contact to obtain project specific information.
  • Assist Operations in development of change order requests (as required)
  • Maintain project specific documentation and requirements as stated within project contract documents
  • Complete project close-out per company standards
  • All duties as assigned
What You'll Bring
