What will you do?

In this position, you will join our Built Environment business, where you will play an integral part in a team of highly skilled specialists that ‘bring ideas to life’ for our clients across all types of building and infrastructure projects.

We know the work we do is vital in assisting our world’s economic development and, it is the technical expertise and the depth of knowledge of our people that really sets us apart. Here are the key things you will do to ‘bring ideas to life’.

Document Control & Transmittals:

  • Prepare and issue transmittals and maintain drawing registers.
  • Track and download project documents from systems such as SharePoint, ACC (Autodesk Construction Cloud), Aconex or other Cloud-based platforms for internal review.
  • Monitor document status and follow up with relevant team members to ensure timely reviews and submissions.
  • Maintain and update drawing lists in master files.

Meeting Management:

  • Record and document Meeting Minutes.
  • Capture meeting videos and translate them into clear, structured notes for Project Managers and Engineers to review and submit to stakeholders.
  • Distribute and archive meeting records for easy access and tracking.

Information Gathering & Submission Preparation:

  • Collaborate with internal teams to gather data and prepare documentation for client and authority submissions.
  • Ensure accuracy, consistency, and completeness of all documentation prior to submission.

Coordination & Collaboration:

  • Act as a liaison between project teams and external stakeholders to ensure effective communication.
  • Coordinate with team members and clients to align on schedules, deliverables, and updates.
  • Consolidate and verify data accuracy in collaboration with officers and other stakeholders.
  • Liaise with internal and external stakeholders to gather data and prepare documentation to support project delivery as schedule.

Email & Communication Management:

  • Manage project-related email correspondence and maintain a structured filing system for incoming and outgoing communication.

What can you bring to the team?

  • Bachelor’s degree in Business Administration, Project Management, Engineering, or a related field (or equivalent experience).
  • Proven experience in a project administrative or project support role.
  • Excellent organizational and multitasking skills.
  • Strong attention to detail and commitment to data accuracy.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with document control systems (e.g., ACC, Aconex) is an advantage.
  • Strong communication and interpersonal skills.
  • Ability to work effectively in a fast-paced, deadline-driven environment.
  • Excellent in English communications
