Job summary

The Hiller Companies, LLC is seeking a Project Coordinator to support the production department and keep projects on track from start to finish.

Responsibilities include attending meetings, liaising with customers and PMs, providing updates, and ensuring compliance with closeout and training requirements. Candidates should have 2+ years in a coordinating role and strong organizational skills.

Qualifications

  • High School Diploma / GED required.
  • College degree preferred but not required.
  • 2+ years project coordinator experience with industry knowledge.
  • Strong planning, scheduling and task monitoring abilities.
  • Excellent organization and time management; document actions and QA items.
  • Excellent communication and customer service skills.
  • Ability to work independently or in a team.
  • Assess manpower needs for contracts and construction phases.
  • Experience resolving conflicts or disputes.
  • Proficiency with Microsoft Office, cloud software and estimating/scheduling tools; Procore a plus.

Responsibilities

  • Serve as a liaison between customers and project managers.
  • Provide ongoing updates to the production team on behalf of the project manager.
  • Identify issues early and implement cost effective solutions.
  • Ensure closeout requirements, AHJ approvals, and training documentation are met.
  • Attend weekly meetings with operations and finance to support the project manager.
  • Maintain badging requirements and manage documents for base access.
  • Act as point of contact for advance requests for technicians working remotely.
  • Perform administrative duties including customer correspondence and filing.
  • Handle other duties as assigned.

Pay Range:$34.00 - $40.00 per hour.The posted salary range reflects the anticipated hiring range for this position at the time of posting and is provided in accordance with applicable pay transparency laws. Actual starting pay will be determined based on job-related factors, including the candidate's qualifications, experience, skills, education, internal equity, geographic location (where applicable), and market considerations. Not all candidates will be hired at the top of the posted range. The posted range reflects base salary only and does not include any applicable bonuses, commissions, overtime, or the value of employee benefits. Eligible employees may participate in the Company's benefit programs, subject to the terms and eligibility requirements of each plan.

Job Summary: The primary responsibility of the Project Coordinator is to support the production department by ensuring the projects stay on track throughout the entirety of the project.

Job Responsibilities:
  • Attend production meetings and maintain accurate records of meetings, schedules, and requests.
  • Serve as a liaison between customers and project managers.
  • Ongoing communication and interaction with the production team, including providing updates on behalf of the project manager.
  • Proactively anticipate and identify issues early and implement cost effective solutions.
  • Assures compliance with project closeout requirements, AHJ approvals, customer training and closeout documentation.
  • Attending weekly meetings with operations and finance to provide support to the project manager.
  • Maintaining badging requirements for technicians, including submitting documents needed for base access.
  • Point of contact for advance request for technicians working out of town.
  • Administrative duties including customer correspondence and maintaining documentation in correct job folders.
  • Other duties as assigned.
What We Are Looking For:
  • High School Diploma / GED
  • College degree preferred, but not required.
  • 2+ years project coordinator experience, with industry specific capability
  • Must have a sound and practical understanding of project coordinating and a working knowledge of planning, with the ability to schedule and monitor tasks.
  • Must possess good organization and time management skills and be responsible for ensuring that all tasks, action items and QA items are followed through, completed, and documented in a timely manner.
  • Excellent communication and customer service skills
  • Must be able to work effectively as part of a team and/or independently.
  • Must be able to assess construction and service manpower requirements for the various contracts and construction phases.
  • Experienced in conflict/dispute resolution.
  • Must be proficient with Microsoft Office, cloud-based software and estimating & scheduling programs. Procore experience a plus.
