The ideal candidate is proactive, detail-oriented, and comfortable managing multiple projects in a fast-paced environment.

Key Responsibilities

  • Respond promptly to customer emails, questions, and concerns.
  • Enter sales orders after receiving customer approval and all required documentation.
  • Purchase custom items as needed and monitor order status.
  • Send and track customer invoices, ensuring required payments are received before installation.
  • Coordinate with customers, Installation Leads, and Warehouse team members to schedule installations and minimize preventable delays or reschedules.
  • Confirm and coordinate customer-specific onsite requirements before delivery and installation.
  • Keep project details, timelines, order updates, and receiving information accurate and current in company systems.
  • Ensure project information is accessible to all appropriate team members.
  • Participate in project status meetings and provide reporting on timelines, scope, outstanding items, and overall project progress.
  • Meet regularly with Operations leadership to review open orders, installation schedules, and punch‑list items.
  • Generate reports for internal teams using current order and receiving information.
  • Collaborate across Sales, Purchasing, Warehouse, Installation, and other departments to support a successful customer experience.
  • Assist with sales support, incoming phone calls, and customer service responsibilities as needed.
  • Learn order entry, purchasing, and shipping processes to serve as the primary backup for the Purchasing Specialist.
  • Resolve project issues efficiently and elevate concerns when appropriate.
  • Perform other duties as assigned by management.
What We’re Looking For
  • Previous experience in project coordination, order management, customer service, office furniture, logistics, purchasing, or a related field preferred.
  • Strong organizational skills with the ability to manage multiple active projects and competing priorities.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and consistent follow-through.
  • A proactive approach to identifying issues and keeping projects moving forward.
  • Ability to provide responsive, professional customer service.
  • Comfortable working across multiple departments and coordinating with both internal and external partners.
  • Ability to learn and accurately use order‑management and project‑tracking software.
  • Proficiency with Microsoft Office or similar business applications.
  • Ability to work effectively in a fast‑paced, deadline‑driven environment.
What Success Looks Like
  • Customers receive consistent, timely, and accurate project updates.
  • Orders are entered correctly and project records remain current.
  • Required payments are received before scheduled installations.
  • Installations are coordinated effectively with minimal preventable delays or reschedules.
  • Internal teams have the information they need to complete projects successfully.
  • Customer questions and project issues are addressed promptly and professionally.

If you are highly organized, enjoy working with customers, and take pride in keeping projects on track from order through installation, we would love to hear from you.
