Position Summary

We are seeking a proactive and organized Equipment Sales Project Coordinator to support project execution for the Equipment Sales Team. This role is responsible for coordinating sales documentation, tracking project progress, and managing communication between internal departments, vendors, and customers. It is ideal for a detail-oriented individual who thrives in a fast-paced environment and enjoys helping bring projects to life.

Key Responsibilities

• Support Project Managers with day-to-day execution of equipment sales and installation projects.
• Track and coordinate status updates for multiple projects simultaneously.
• Manage paperwork such as purchase orders, permits, project documents, and customer files.
• Collaborate with Sales, Operations, Service, and Finance teams to ensure timely project delivery.
• Schedule and attend internal and external project meetings; capture meeting notes and next steps.
• Communicate with vendors and customers on project status and documentation needs.
• Assist with invoicing processes and ensure alignment between service delivery and billing.
• Respond to inquiries and support the resolution of project-related issues as needed.

Qualifications

• 1–3 years of experience in project coordination, sales support, or administrative operations.
• Excellent organizational and communication skills.
• Proficiency with Microsoft Office (Word, Excel, Outlook) and CRM/project tracking tools.
• Ability to manage competing priorities in a fast-paced environment.
• Team-oriented, with a collaborative approach and positive attitude.
• Detail-focused with a proactive mindset and follow-through.
• Experience in the power generation or equipment sales industry is a plus.
