Qualifications

Responsibilities

  • Provide administrative and operational support for capital improvement and property enhancement projects.
  • Assist with planning, scheduling, tracking, and coordination of projects across multiple properties.
  • Coordinate meetings, vendor schedules, site logistics, resident communications, and project documentation.
  • Maintain accurate project records, budgets, timelines, reports, and status updates.
  • Serve as a liaison between leadership, property teams, contractors, and residents throughout project lifecycles.
  • Monitor project progress and identify potential delays, risks, or concerns.
  • Support response efforts related to property incidents, emergencies, and operational disruptions.

Project Coordinator

Location: Oakdale, MN
Work Model: Hybrid with 3 days on-site required
Compensation: $24 – $29/hr

Position Summary

The Project Coordinator serves as the primary on-site resource supporting property operations, resident relations, and project execution across a portfolio of residential properties. This position plays a key role in coordinating capital improvement projects, operational initiatives, vendor activities, and resident communications to ensure projects are completed efficiently and with minimal disruption.

The ideal candidate is highly organized, proactive, and customer-focused, with experience managing multiple priorities while collaborating with residents, contractors, property teams, and leadership. This role serves as a central point of coordination for site-related projects, operational needs, and resident support, helping drive operational excellence and an exceptional resident experience.

Key Responsibilities
Project Coordination & Administrative Support
  • Provide administrative and operational support for capital improvement and property enhancement projects.
  • Assist with planning, scheduling, tracking, and coordination of projects across multiple properties.
  • Coordinate meetings, vendor schedules, site logistics, resident communications, and project documentation.
  • Maintain accurate project records, budgets, timelines, reports, and status updates.
  • Serve as a liaison between leadership, property teams, contractors, and residents throughout project lifecycles.
  • Monitor project progress and proactively identify and communicate potential delays, risks, or concerns.
Property Operations & Incident Support
  • Support response efforts related to property incidents, emergencies, and operational disruptions.
  • Coordinate vendor services, documentation, follow-up activities, and resident communications related to incident response.
  • Partner with on-site teams to identify operational challenges and assist in implementing corrective action plans.
  • Track and coordinate ongoing maintenance initiatives and property improvement efforts.
Vendor & Contractor Management
  • Assist with obtaining, organizing, and comparing bids for property projects and planned capital improvements.
  • Coordinate contractor site visits, walkthroughs, proposal collection, insurance verification, and onboarding processes.
  • Support the review of project scopes, contractor proposals, and vendor recommendations.
  • Maintain positive vendor relationships and facilitate timely communication throughout project execution.
Resident Relations
  • Serve as a primary point of contact for residents regarding project-related questions and property improvement initiatives.
  • Communicate project schedules, updates, service interruptions, and expectations in a professional and timely manner.
  • Address resident concerns and coordinate resolutions with property management and operational teams.
  • Maintain a visible presence at assigned properties to support residents and ensure effective project communication.
  • Assist with resident notices, meetings, and community communications during active projects and operational events.
Reporting & Documentation
  • Prepare project updates, reports, meeting summaries, and status communications for leadership.
  • Track budgets, invoices, purchase orders, and project-related expenditures.
  • Maintain accurate records of resident interactions, vendor communications, project documentation, and operational activities.
Qualifications
Required
  • High School Diploma or equivalent.
  • 3+ years of experience in project coordination, project management, property management, or a related field.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to effectively manage multiple priorities in a fast-paced environment.
  • Strong customer service skills with the ability to interact professionally with residents, vendors, contractors, and internal teams.
  • Ability to work independently while collaborating effectively with cross-functional stakeholders.
Preferred
  • Experience within multifamily housing, residential property management, facilities management, or construction-related environments.
  • Experience coordinating vendors, contractors, and property improvement projects.
  • Knowledge of property operations, maintenance coordination, and capital improvement processes.
  • Experience monitoring budgets, invoices, and financial reporting.
  • Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.
