The ideal candidate is highly organized, detail-oriented, and comfortable balancing multiple jobs, deadlines, and stakeholders in a fast-paced environment. This person serves as a key link between corporate, field operations, estimating, customers, carriers, and trade partners, and helps bring consistent coordination practices to every location.

Essential Duties and Responsibilities

  • Confirm jobs are approved for production and that all claim information, including the deductible, has been collected
  • Collect and file required job documents, including authorizations to repair (ATRs), contracts, change orders, certificates of completion (COCs), TPA-required documents, and lien waivers
  • Send work authorizations, contracts, change orders, and punch lists to customers through DocuSign, and track signatures to completion
  • Request EagleView reports and other supporting documentation as needed
  • Compile and file the completed supervisor estimate and supporting paperwork at job close

Contracts, Budgeting, and Scheduling

  • Prepare contracts with clear payment schedules after estimate approval, in coordination with the Estimator
  • Import estimates into PSA when needed and review work orders and job budgets against company targets
  • Issue subcontracts and work orders to trade partners as directed by Project Managers, with purchase orders in place before work is released
  • Build job schedules and coordinate changes with Project Managers
  • Coordinate temporary assignments as needed
  • Support Project Managers and Estimators in following the company change order policy, including signed change orders and collected deposits before work begins

Invoicing and Collections

  • Match trade and supplier invoices to purchase orders and flag discrepancies
  • Route invoices to Project Managers for approval and prepare customer invoices for delivery by the Estimator
  • Monitor payment schedules and follow up to keep collections aligned with contract terms
  • Escalate to the Project Coordinator Manager any job that starts without a collected deductible, deposit, or approved draw schedule, or whose outstanding collections exceed company thresholds

TPA and Carrier Compliance

  • Maintain compliance with TPA guidelines, complete required uploads, and support strong performance rankings
  • Upload, label, and organize job photos in TPA portals
  • Follow up with adjusters on estimate approvals and supplements at the Estimator's request
  • Support Estimators in communication with customers, agents, adjusters, and TPAs

  • Attend weekly job review meetings and bi-weekly work-in-progress (WIP) meetings with the VP of Construction, Estimators, and Project Managers, and follow through on action items
  • Track each job's status (Received, Scoped, Pending, Sold, WIP, Completed) and escalate jobs that stall to the Project Coordinator Manager
  • Prepare and share weekly job status reports with the Project Coordinator Manager, Project Managers, and the VP of Construction
  • Perform other duties as assigned

Multi-Location Support
