Job summary

STO Building Group in New York is seeking a Post-Award Coordinator to manage project documentation, set up CMiC data after award, and supervise submittals and equipment tracking across stakeholders.

You will coordinate with procurement, project management, suppliers, and field teams to maintain schedules, ensure accuracy, and implement process improvements in document control and delivery coordination. A discretionary annual bonus is offered along with competitive compensation.

Qualifications

  • 2+ years of experience in project administration, document control, or coordination within construction or building supply.
  • Proficiency in CMiC and Excel; strong computer skills.

Responsibilities

  • Prepare and issue submittal requests; collect documentation from vendors and ensure compliance with specs.
  • Monitor status of equipment orders and submittals; maintain tracking logs and address delays.
  • Collaborate with procurement, project management, suppliers, and jobsite teams to coordinate delivery schedules and updates.
  • Serve as liaison between internal teams, clients, and vendors regarding documentation and milestones.
  • Ensure all documentation is complete and filed per company procedures.
  • Identify and implement process improvements for document control and delivery coordination.

JOB DESCRIPTION

Construction Procurement Solutions (CPS), part of the STO Building Group, is seeking a detail-oriented and proactive Post-Award Coordinator to manage and control project documentation and processes following award. The successful candidate will serve as the central point of contact for CMiC project inputs, submittals management, equipment tracking, and coordination of project deliveries. This role is critical to ensuring seamless project execution and high-quality client service by driving accurate and timely document control and communication across project stakeholders.

KEY RESPONSIBILITIES
  • Set up and maintain project information in CMiC (or similar ERP/project management software) after award, ensuring accuracy and alignment with contract requirements.
  • Coordinate, track, and process all equipment and material submittals. Manage submittal logs, review timelines, distribute submittals for internal and external review, and follow up on outstanding items.
  • Prepare and issue submittal requests, collect required documentation from vendors and suppliers, and ensure compliance with project specifications.
  • Monitor status of all equipment orders and submittals. Maintain up-to-date tracking logs and proactively address any delays or issues.
  • Collaborate with procurement, project management, suppliers, and jobsite teams to coordinate delivery schedules, resolve conflicts, and communicate updates.
  • Serve as a liaison between internal teams, clients, and vendors regarding documentation, submittals, and delivery milestones.
  • Ensure all documentation is complete, accurate, and filed in accordance with company procedures and project requirements.
  • Identify and implement process improvements for document control, submittal workflows, and delivery coordination.
REQUIRED QUALIFICATIONS
  • 2+ years of experience in project administration, document control, or coordination—preferably within the construction or building supply industry.
  • Proficiency in project management and ERP systems, ideally CMiC; strong Excel and general computer skills.
  • Demonstrated organizational skills with a keen attention to detail and accuracy.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Strong problem-solving ability and proactive follow-up habits.
  • Experience working with submittals, equipment procurement, or delivery scheduling is highly desirable.
PREFERRED QUALIFICATIONS
  • Experience in construction management, procurement, or subcontractor coordination.
  • Familiarity with CSI divisions, construction specifications, and AIA documentation.
  • Associate’s or Bachelor’s degree in Construction Management, Business Administration, or related field.

The salary range for this position is $75,000–90,000 annually. In addition, this role is eligible for a discretionary annual bonus.
