Job summary

eagle Controls seeks a Project Coordinator to support the Project Director and management team across our controls and building-automation projects. The role involves organizing documents, tracking budgets, schedules and communications for multi-site projects in Granite City, Chesterfield, Nashville, Charlotte, and Raleigh.

The ideal candidate has 2+ years of administrative or coordination experience, strong organization, and proficiency with Microsoft Office and project management tools like

Qualifications

• Associate's or Bachelor's degree in Business, Construction Management, or related field preferred; equivalent experience considered.
• 2+ years of administrative or coordination experience, ideally in construction, mechanical, or controls contracting.
• Strong organizational skills and high attention to detail in a fast-paced, multi-project environment.
• Proficiency with Microsoft Office (Excel, Outlook, Word) and project management/documentation software (e.g., Procore, Bluebeam).
• Excellent written and verbal communication skills.
• Ability to manage multiple priorities and deadlines across concurrent projects.
• Prior exposure to construction contracts, submittals, or scheduling terminology a plus.

Responsibilities

• Prepare, organize, and maintain project contract documents, submittals, RFIs, and change order logs.
• Track project schedules and milestones; coordinate meeting scheduling and distribute meeting minutes.
• Assist Project Managers and the Project Director with budget tracking, purchase orders, and subcontractor documentation.
• Coordinate procurement and delivery of equipment and materials to support field installation schedules.
• Maintain accurate project files (digital and physical) in accordance with company recordkeeping standards.
• Serve as a point of contact for administrative questions from field technicians, subcontractors, and vendors.
• Support project closeout activities, including as-built documentation, O&M manuals, and warranty tracking.
• Assist with invoicing support and billing documentation in coordination with accounting.
• Provide backup administrative and executive-coordination support across project and service teams as needed.
• Identify and elevate schedule or documentation issues to the Project Director in a timely manner.
