Job summary

CBRE is seeking a Project Coordinator to support our operations team by assisting Lead Technicians and Project Managers with project administration and scheduling. The role focuses on maintaining project plans, coordinating meetings, managing timecards, and ensuring deadlines are met.

The ideal candidate will have strong organizational skills, proficient MS Office knowledge, and a proven ability to coordinate teams, manage client communications, and support budgeting and risk mitigation across

Qualifications

  • Minimum 5 years’ experience.

Responsibilities

  • Assist Leads and Project Managers with day-to-day project administrative functions.
  • Maintain and monitor project plans, project schedules, timecards, work hours, budgets, and expenditures
  • Organizing, attending, and participating in stakeholder meetings
  • Document and follow up on important actions and decision from meetings
  • Prepare necessary presentation materials for meetings
  • Ensure project deadlines are met
  • Provide administrative support as needed
  • Developing project strategies with the Lead Technician, Superintendent, and Project Manager
  • Coordinate, manage, and make travel arrangements for technicians traveling to the project
  • Create the teams, develop the objectives/goals of each and assign individual responsibilities
  • Perform project accounting functions including managing the budget, tracking team expenses and minimizing exposure and risk to the project.

The Project Coordinator will be a key member in our operations team by supporting our Lead Technicians and Project Managers with project administrative duties. This position does not require industry experience but does require a strong work ethic and organizational skills.
Essential Duties And Responsibilites
  • Assist Leads and Project Managers with day-to-day project administrative functions.
  • Maintain and monitor project plans, project schedules, timecards, work hours, budgets, and expenditures
  • Organizing, attending, and participating in stakeholder meetings
  • Document and follow up on important actions and decision from meetings
  • Prepare necessary presentation materials for meetings
  • Ensure project deadlines are met
  • Provide administrative support as needed
  • Developing project strategies with the Lead Technician, Superintendent, and Project Manager
  • Ensure projects adhere to requirements and all documentation is maintained appropriately for each project
  • Assess project risks and issues and provide solutions where applicable
  • Chair and facilitate meetings where appropriate and distribute minutes to all project team members
  • Coordinate, manage, and make travel arrangements for technicians traveling to the project
  • Create the teams, develop the objectives/goals of each and assign individual responsibilities
  • Perform project accounting functions including managing the budget, tracking team expenses and minimizing exposure and risk to the project.
  • Order, track, sort, inventory, and receive materials
  • Track labor production to ensure milestones are met
  • Collaborates with the entire organization
  • Primary liaison between Project Manager and Lead Technicians
  • Submit access requests for employees and testers
  • Manage all test results and maintain them in the project’s as-built folder.
Qualifications
  • Minimum 5 years’ experience.
  • 2 years of experience on construction projects.

  • Proficient with Microsoft Office
