Jobtailor in Houston, TX, seeks a detail-oriented Logistics Coordinator to manage international shipments, contract terms, invoicing, and compliance. You will coordinate with clients, suppliers, carriers, and trade partners to ensure timely delivery and accurate documentation.

Responsibilities include evaluating commercial terms, creating LCs, liaising on incoterms, managing ERP data, and guiding internal teams on order setup and changes while optimizing cost, schedule, and risk.

Qualifications

  • Bachelor’s degree or equivalent education/experience.
  • Experience in contract terminology and international trade practices.
  • Strong Excel and ERP skills for data and invoicing.
  • Knowledge of LC, SBLC, and incoterms beneficial.

  • Coordinate export/import documentation and ensure compliance with trade regulations.
  • Evaluate contract terms, PO conditions, and delivery schedules.
  • Advise on Letters of Credit and related payment securities.
  • Arrange international and domestic shipping to optimize cost, quality, and schedule.

Job description

  • Process, expedite, and ship equipment, software, and documentation to integrators, vendors, and clients worldwide while ensuring contract and trade compliance
  • Evaluate client contract and purchase order commercial terms and conditions; resolve or elevate discrepancies and omissions
  • Compare ERP data with contracts and purchase orders to identify errors and omissions
  • Evaluate shipment requirements, billing and revenue milestones, payment securities, and documentation requirements; manage execution and **escalate** issues
  • Generate draft Letters of Credit, Standby Letters of Credit, Surety Bonds, Pay Applications, Lien Waivers, commercial invoices, packing lists, and other required documentation
  • Execute approved Letters of Credit
  • Create, manage, issue, and reconcile invoice and billing milestones across multiple projects, including deferrals, multicurrency, and taxes
  • Record revenue in ERP and verify contract requirement fulfillment
  • Resolve and communicate client issues involving commercial documents, invoices, receivables, purchase orders, schedules, and deliveries
  • Advise Sales Managers, Project Managers, clients, and company personnel on Letters of Credit, order setup, change orders, and international trade requirements
  • Arrange cost-effective domestic and international shipping and storage; negotiate for optimal cost, quality, and schedule
  • Monitor project schedules, identify high-risk shipments, and implement solutions
  • Analyze freight forwarder packing schedules and assist with factory workload leveling and forecasting
  • Review business reports, identify risks, validate issues, recommend solutions, and make corrections
  • Run export determinations and resolve identified errors
  • Create import/export documentation in compliance with applicable laws and trade regulations
  • Coordinate cross-functional clients, suppliers, logistics, packers, freight forwarders, carriers, trade compliance, customs brokers, and operations teams for timely delivery
  • Determine project freight cost exposure and review/approve freight forwarder invoices
  • Collaborate with peers, managers, and cross-organizational teams; comply with company policies and regulations; recommend process improvements
Requirements
  • Bachelor’s degree in related field or equivalent education and/or work experience
  • 1 year of experience in project coordination or internal/external client service
  • Demonstrated knowledge of contract terminology
  • Excellent keyboarding and computer literacy skills
  • Demonstrated successful working relationships with clients, suppliers, and other internal and external contacts
  • Demonstrated successful and positive personal leadership, interpersonal, organizational, administrative, and communication skills
  • Demonstrated continuous improvement in areas of responsibility
  • Proficiency in Microsoft Windows, Excel, Word, Outlook, and an ERP
  • Availability to travel less than 5%
  • Preferred: Demonstrated experience reviewing and evaluating contract T&C’s, including billing terms, penalties, contract value, milestone payments, LC’s, SBLS’s/Surety Bonds, pay applications, lien waivers and International Commercial Terms (INCO)
  • Preferred: Demonstrated experience requiring application of international shipping policies
  • Preferred: Proficiency in an international shipping document creation and/or trade management software
  • Preferred: Proficiency in Oracle E-Business Suite Projects and/or Order Management
