Job summary

Impact Fire Services, LLC is seeking a detail-oriented Project Coordinator to support our Project Managers by coordinating multiple construction projects from start to finish. You will handle project documentation, scheduling, billing, customer communication, and general administrative support to keep projects on time and within budget.

Qualifications

  • Previous experience in project coordination, construction administration, or a similar role.
  • Strong organizational and multitasking skills.
  • Proficient in Microsoft Office (Excel, Word, Outlook).
  • Excellent communication and customer service skills.
  • Ability to work in a fast-paced environment while managing multiple priorities.
  • Experience in the construction or fire protection industry is a plus.

Responsibilities

  • Coordinate project schedules, documentation, and administrative tasks.
  • Process material quotes, rental equipment, change orders, and progress billing.
  • Prepare closeout documents, test reports, supervision forms, and project inspections.
  • Review contracts, bond requests, certificates of insurance (COIs), and customer documentation.
  • Maintain project records, spreadsheets, and customer information.
  • Support accounts receivable collections and financial tracking.
  • Communicate with customers, vendors, and internal teams.
  • Assist with project meetings and monitor project progress.

Job Summary
