Job summary

ARCO/Murray is looking for a detail-oriented Operations Coordinator to join our team in Chicago. This role involves supporting the leadership team, preparing project documents, maintaining project lists, and assisting Project Managers with proposals. Ideal candidates will have 3-10 years of relevant experience in construction administration and demonstrate excellent computer skills.

The position offers a typical base compensation between $60,000 and $80,000, alongside a robust benefits package including industry-leading performance-based bonuses, 401(k), and paid sabbaticals.

Qualifications

  • 3–10 years of related experience; construction administration experience is a plus.
  • Must be extremely organized, self-reliant, proactive, and detail-oriented.
  • Excellent computer skills; proficient in Microsoft Word and Excel.

Responsibilities

  • Act as the primary point of contact for the leadership team.
  • Prepare letters, bid instructions, and meeting minutes.
  • Assist Project Managers with proposals and schedules.
  • Maintain various lists for Project Managers.
  • Prepare various forms as directed by Project Managers.
  • Serve as point person for proposal and capabilities packages.
  • Prepare for project meetings and trainings.
  • Book all travel when necessary.
  • Maintain all files, including archiving.
  • Oversee and assist with the development of newer project managers.
  • Assist with business development efforts.

Typical base compensation for the Operations Coordinator role is between $60,000 and $80,000. Candidates with extensive experience may exceed this range. In addition to base salary, the role is eligible to receive discretionary bonus compensation.

Job Expectations and Responsibilities
  • Act as the primary point of contact for the leadership team and provide support as needed.
  • Prepare letters, bid instructions, meeting minutes, weekly updates, memos, proposals, outline specifications, timesheets, and expense reports.
  • Assist Project Managers with proposals by typing proposal letters, outlining specifications, managing the work/design schedule, and assembling proposal books.
  • Maintain various lists for Project Managers, including job lists by region, subcontract tracking lists, filing, and vacation lists.
  • Prepare various forms as directed by Project Managers, including subcontracts, purchase orders, change orders, AGC agreements, professional service agreements, and transmittals.
  • Serve as point person for proposal and capabilities packages, assembling covers, tabs, company information, and sell sheets.
  • Prepare for project meetings and trainings, including scheduling, preparing handouts, and coordinating lunches.
  • Book all travel when necessary.
  • Maintain all files, including preparing new files and archiving old ones.
  • Oversee and assist with the development of newer project managers.
  • Assist with business development efforts, including drafting proposals and other materials.
