This team member must be located within 40 miles of the Blue River PetCare Chicago corporate office in order to work a hybrid schedule.
Blue River Petcare is seeking a motivated and organized Project Coordinator to support our dynamic Project Management Office (PMO). The Project Coordinator plays an integral role by ensuring that projects are organized and run smoothly. This position involves supporting project managers and teams through the provision of frameworks, tools, and direct assistance to manage the project lifecycle effectively. By maintaining project documentation, tracking project schedules, and facilitating communication among stakeholders, the Project Coordinator helps ensure that projects are completed on time and within budget. The Project Coordinators assist in creating a structured environment where projects can thrive, ultimately supporting the organization’s strategic initiatives. This role reports to the Director of PMO.
Essential Duties and Responsibilities:
- Facilitate development and implementation of project management methodologies, standards, and tools to ensure consistent project execution across the organization
- Coordinate scheduling, resources, and budgeting of projects within PMO portfolio to optimize project delivery timelines and outcomes
- Monitor project progress against milestones, deliverables, and budget constraints, escalating issues to project managers and stakeholders as needed
- Maintain comprehensive project documentation, including project plans, status reports, and risk management plans, to ensure project information is accurately captured and accessible
- Organize and lead project status meetings and stakeholder communications, ensuring relevant parties are informed of project progress and decisions
- Prepare and distribute project-related documentation, reports, and updates
- Analyze project performance data to identify trends, efficiencies, and areas for improvement in project execution and management practices
- Support project managers and teams by providing guidance on PMO processes, tools, and best practices to enhance project outcome
- Oversee PMO’s knowledge management efforts, including development and maintenance of a project repository to capture and share lessons learned and best practices across projects
- Liaise with project managers to facilitate communication and resolve issues
- Support acquisition projects onboarding prospective veterinary hospitals into Blue River PetCare portfolio
- Track and follow up on seller deliverables, ensure sufficient information provided, route confidential documents to stakeholders, and maintain centralized document repository for stakeholder access
- Perform administrative functions for acquisition projects: prepare forms and memos, ship items, organize and label files, handle telephone calls and/or respond to department inquiries
- Own communications calendar and distribution lists and maintain FAQs and resource‑access guides for stakeholders
- Complete vendor applications, monitor status and follow up on missing items
- Perform basic systems setup where permissions allow
Requirements
Skills, Knowledge, Abilities and Qualifications:
- Bachelor’s Degree, in business or related field, preferred
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities
- Proficient in project management software and MS Office
- Ability to work independently and as part of a team
- Interest in project management with a willingness to learn and grow in the field
- Relevant certification in project management (e.g., CAPM) is advantageous
- 0-2 years of Project Coordinator experience in a complex organization

- Must be able to listen and read well and be detailed oriented with transactional work
- Superior phone etiquette and ability to deal well with customers and internal team inquiries

Physical Requirements:
- Remain in a seated position at least 75% of the time
- Ability to navigate around office to access file cabinets, supplies, office machinery, etc.
- Ability to communicate with others via in-person verbal communication and frequent emails and phone/video calls; must be able to exchange clear, accurate information in these situations
- Ability to utilize a computer, keyboard and mouse when working
- Ability to occasionally lift and carry up to 40lbs

Compensation and Benefits
Salary Range:$65,000-70,000 per year
