Job summary

PRIME is seeking an organized Project Administrative Assistant to support multiple projects within our Washington-based operations. The role requires handling project data, reports, meeting coordination, and document control to ensure smooth execution.

You will assist with timekeeping, prepare subcontract paperwork, and help track budgets and schedules. This in-person, onsite position sits at our Bellevue-area offices and involves occasional travel to sites and other offices.

Qualifications

  • Associate degree or equivalent from two-year college or technical school; or 1-3 years related experience.
  • Strong multitasking, organizational and prioritization skills.
  • Ability to work on multiple concurrent tasks effectively.
  • Strong written and verbal communication skills.
  • Experience with software-based estimating, accounting, scheduling and project management systems, preferred.
  • Demonstrated ability to work collaboratively in a team and adapt to changing project needs.
  • Strong computer skills and proficiency with Microsoft Office.
  • Maintain a positive attitude and work environment.
  • Uphold a strong work ethic and punctuality.
  • Prioritize work effectively to meet all deadlines.
  • Demonstrate a keen interest in construction and project operations.

Responsibilities

  • Assist with all administrative tasks on projects from inception to completion.
  • Maintain project information within databases and generate necessary reports.
  • Coordinate and participate in meetings.
  • Provide document control services for maintaining project records.
  • Manage accounts receivable functions for various projects including billing, requisitions, invoices and purchase orders.
  • Manage project documentation, ensuring revisions and distributions are communicated effectively.
  • Support project administration deliverables, including meeting minutes, budget tracking, schedule updates, submittals, change orders, and closeout procedures.
  • Adhere to the PRIME Safety Program, complying with safety regulations, procedures and safe work practices.
  • Maintain a physical presence onsite and regularly visit jobsites to oversee progress and provide assistance to the project management team as needed.

  • Maintain a physical presence onsite and regularly visit jobsites to oversee progress and provide assistance to the project management team as needed.
  • Performs other duties as requested; duties, responsibilities, and activities may change, or new ones may be assigned at any time with our without notice.
  • An associate degree or equivalent from two-year college or technical school; or one to three years related experience and/or training; or an equivalent combination of education and experience, preferred.
  • Strong multitasking, organizational and prioritization skills.

Special Requirements/Physical Demands/Working Conditions:

Work is primarily performed in an office setting with minimal health or safety hazards. Noise level and temperature is moderate. Minimal lifting or climbing. This position is expected to be fully in-person, onsite, with some travel not limited to, other offices, work sites and local business errands.

Communication Skills:

Ability to read and interpret documents such as submittals, operations manuals and project schedules. Ability to write routine correspondence such as letters and memos. Ability to present information in one-on-one and small group situations to internal and/or external clients of the firm. Communicate clearly and effectively with project managers, team members, and stakeholders to support project execution.

Reasoning Ability and/or Critical Thinking:

Work situations require consideration and interpretation of circumstances or information to choose the most effective response. Solutions may be technical, yet relatively straightforward and well-defined, once problems are understood.
