Job summary

WSP is seeking a Project Controls Coordinator to join our Project Controls team in Dallas, TX or Tulsa, OK. You will support budgets, forecasts, accruals, and cost tracking across multiple projects.

You will coordinate with project teams, contractors, and stakeholders to keep costs and schedules up-to-date while maintaining robust documentation and reporting. Strong Excel, ERP/PMIS experience and attention to detail are essential.

Qualifications

• Bachelor's degree or equivalent in a related field.
• 1–3 years of experience supporting project controls or related functions on capital projects.
• Experience with document management and maintaining project records and checklists.
• Foundational understanding of project cost management: budgeting, forecasting, variance analysis.
• Familiarity with ERP/PMIS/document management systems; experience with listed tools preferred.

Responsibilities

• Support Project Managers in budgets, forecasts, commitments, actual costs, accruals, and financial data across systems.
• Coordinate with project teams, contractors, and stakeholders to collect timely updates and ensure data accuracy.
• Assist with monthly project controls activities: cost tracking, forecast updates, variance analysis, accruals, and reporting.
• Prepare and distribute project status reports, dashboards, and financial summaries for decision-making.
• Monitor data quality, resolve discrepancies, and ensure timely data issues resolution.
• Support project setup activities: work orders, charge code administration, and documentation management.
• Maintain project document controls, registers, revisions, distribution, and records completeness.
• Facilitate communication across Project Managers, Finance, and stakeholders for alignment on status and deliverables.
• Assist with change management, invoice tracking, commitment management, and project closeout processes.

This Opportunity

WSP is seeking a Project Controls Coordinator to join their Project Controls team supporting major projects. This individual will be located in one of our WSP locations in either Tulsa OK or Dallas TX.

Your Impact

• Support Project Managers in maintaining accurate project budgets, forecasts, commitments, actual costs, accruals, and financial data within project controls and financial systems.
• Coordinate with project teams, contractors, and stakeholders to collect project updates and ensure cost, schedule, and project data is current, complete, and accurately recorded.
• Assist with monthly project controls activities, including cost tracking, forecast updates, variance analysis, accrual collection, and project reporting.
• Prepare and distribute project status reports, dashboards, meeting materials, and financial summaries to support project decision-making.
• Monitor project data quality, identify discrepancies or missing information, and work with project teams to resolve data issues in a timely manner.
• Support project setup activities, including work order creation, charge code administration, project documentation management, and configuration of project controls systems.
• Maintain project document controls, including document registers, revision status, distribution, filing, and records completeness, and support the tracking of tasks, action items, deliverables, due dates, and project checklists through completion.
• Facilitate communication between Project Managers, Project Controls, Finance, and other stakeholders to ensure alignment on project status, costs, forecasts, and key deliverables.
• Assist with change management, invoice tracking, commitment management, project closeout activities, and continuous improvement of project controls processes and reporting tools

Who You Are

Minimum Requirements:

• Bachelor's degree in Business, Finance, Accounting, Engineering, Construction Management, Project Management, or a related field. Equivalent combinations of education and experience may be considered.
• 1-3 years of experience supporting project controls, cost controls, project coordination, project administration, project management, or related functions on capital projects.
• Experience with document management or document controls, including maintaining project records and registers and tracking tasks, action items, deliverables, due dates, and checklists to completion.
• Foundational understanding of project cost management principles, including budgeting, forecasting, cost tracking, and variance analysis.
• Experience working with project management, financial, ERP, PMIS, document management, or project controls systems. Familiarity with tools such as EcoSys, SAP, Procore, e-Builder, Primavera P6, or Microsoft Project is preferred.
• Proficiency in Microsoft Excel and Microsoft Office applications, with the ability to organize, analyze, and maintain project data.
• Strong analytical and problem-solving skills, with keen attention to detail and the ability to manage multiple priorities in a fast-paced environment.
• Strong written and verbal communication skills, with the ability to effectively coordinate with Project Managers, project teams, clients, contractors, and stakeholders.
• Experience with Power BI, reporting tools, or data visualization platforms is preferred but not required.
