Position Summary

The Project Control Specialist role is responsible for conducting risk assessments, financial evaluations, and analyzing project performance to drive profitability and maintain the overall integrity of the project. This includes developing and managing project reporting and cost-tracking systems, implementing project control strategies, collaborating with the operations team on strategic planning, mitigating risks, and overseeing progress to ensure successful project completion.

Responsibilities

  • Create action plans, workflows, budgets, and prime contracts in Procore prior to project commencement.
  • Facilitate accurate and efficient job buyouts by assisting in the development and execution of the budget/buyout process, while ensuring subcontractor compliance in partnership with the Risk team.
  • Lead internal project kick-off meetings to ensure a successful start by outlining project objectives, communication requirements, and financial expectations.
  • Review purchase order and subcontractor commitments submitted by Project Manager and approve or redirect as needed.
  • Send subcontract commitments to subcontractors for review and signature acceptance prior to commencement of work.
  • Verify receipt of the signed PCCO (Prime Contract Change Order) approval and complete the workflow to ensure the change order is added to the project.
  • Monitor the Lifecycle of a Job (project) to ensure adherence to standard operating procedures.
  • Support Operations Team in performing job-risk assessments, analysis, and recommend project controls for projects of varying sizes and complexities.
  • Monitor the budget and alert Project Manager/General Manager if project is over budget and support corrective actions/implement preventative measures.
  • Collaborate with Project Manager to forecast estimated cost to complete and notify Regional Project Control Manager of any potential issues or red flags.
  • Track production boards to ensure the Superintendent/Project Manager is maintaining, updating, and monitoring project schedules to meet expected timelines.
  • Coordinate with the Project Manager/Superintendent to obtain timely approvals for vendor invoices and follow up on any disputed invoices as needed.
  • Attend and actively participate in weekly project update calls, documenting and following up on action items for the team.
  • Review contracts for relevant billing requirements and initiate monthly billing in Procore based on job progress.
  • Other duties and projects as assigned by Regional Project Control Manager.

Knowledge, Skills, Ability, Qualifications & Experience

  • Exhibits strong verbal and written communication skills, with the ability to engage effectively with a diverse range of audiences.
  • Demonstrates excellent organizational skills.
  • Capable of effectively managing multiple competing priorities while consistently providing exceptional support to customers, vendors, and co-workers.
  • Possess intermediate proficiency in Microsoft Office suite of products.
  • Ability to take initiative while independently managing tasks and maintaining productivity.
  • Knowledge of project management tools and processes (ProCore/Sage) is preferred.
  • Familiarity with industry-standard pay applications (AIA G702/703) is preferred.
  • Travel to the office location may be required as needed if not working on-site.
  • May be required to attend industry/company functions outside of normal business hours.
