Position Information

This is a two‑year initial appointment with the possibility for renewal pending business need, available funding, and performance. Under the strategic direction of the Executive Director Holistic Health and Wellness and under the direct supervision of the Assistant Director of Administrative Operations, the Project Business Analyst & Epic Implementation Coordinator serves as a vital operational bridge between the clinical and administrative staff at Student Health Services and Counseling and Psychological Services (CAPS), and the central technical IT teams. The incumbent will focus on the core phases of the Epic Electronic Health Record (EHR) system implementation, specifically bounding all deliverables to the unique workflows, automated systems design, and clinical processes of student wellness operations. They will assist in defining basic system scopes, mapping current and future‑state workflows, and authoring basic RFPs for ancillary clinic technology.

Educational Requirements

  • Bachelor's degree in a related area and/or equivalent experience or training (required).
  • Required Bachelor's degree in Health Informatics, Management Information Systems (MIS), Business Administration, Computer Science, or a related field.
  • Preferred Bachelor's degree in related area and/or equivalent experience/training.

Experience Requirements

  • 0‑1 years of related experience.
  • Required knowledge of UCR SHS and CAPS operations and IT systems.
  • Preferred experience.

Minimum Requirements

  • Interpersonal and communication skills to work with both technical and non‑technical personnel at various levels.
  • Knowledge of related areas of IT and basic business analysis function.
  • Knowledge relating to the design of application programs.
  • Skills associated with analysis of processes and problems, information flow and architecture.
  • Proficiency with standard productivity and data tools including Microsoft Office Suite (Word, Excel, PowerPoint, Visio).

Preferred Qualifications

  • Foundational knowledge of business analysis concepts, core IT principles, and standard software development lifecycle (SDLC).
  • Understanding of healthcare operations, medical/counseling terminology, or privacy regulations surrounding student health data (e.g., HIPAA, FERPA).
  • Exceptional written and verbal communication skills, with a demonstrated ability to translate complex clinical tasks into clear, structured technical documentation.
  • Strong analytical, problem‑solving, and critical‑thinking skills to identify operational bottlenecks.
Key Responsibilities
  • Formulates and defines basic systems scope under direct supervision, analyzes basic business problems, and assists in creating systems specifications.
  • Conduct thorough pre‑workflow analysis and document "As‑Is" current system mapping across Student Health and CAPS; assist senior team members in designing and validating "To‑Be" future‑state workflows, analyzing operational bottlenecks, and creating technical system specifications. Interview stakeholders, facilitate small focus groups, and document user and technical needs into structured functional requirement documents.
  • Applies basic IT practices to design details of automated systems—including user templates, clinical documentation flowsheets, and automated patient communication cues. Draft and organize standard operating procedures and system process documents for a smooth transition to EPIC go‑live and stabilization phase. Assist with basic system validation, unit testing, User Acceptance Testing (UAT), and map data elements from legacy applications to Epic for accurate data migration.
  • Participates in cross‑functional teams to solve business or systems issues; translate end‑user feedback into actionable system adjustments for the technical build team.
  • Write basic Requests for Proposals for ancillary software, third‑party integrations, or specialized hardware (e.g., check‑in kiosks, signature pads) to support the Epic ecosystem. Gather technical specifications from vendors and compile comparative data to evaluate vendor responses against established project requirements.
