Job summary

Ardurra is seeking a Project Billing Specialist to join our Meridian, Idaho office. The role focuses on client billing, AR tracking, and supporting collections, with collaboration across Project Managers, Project Finance, and AP/AR teams to ensure timely, accurate invoicing.

You will handle labor and subcontractor billing, maintain records, submit invoices through client portals, and assist in project setup and onboarding.

Qualifications

• 2+ years’ experience in project accounting with a primary focus on billings.
• Strong initiative, attention to detail, analytical and problem-solving skills.
• Strong communication skills, ability to work with employees, vendors and clients across offices.
• Capability to work independently and travel occasionally.

Responsibilities

• Prepare and submit client invoices in accordance with contract terms, billing schedules, and project requirements.
• Ensure accurate billing of labor, expenses, subcontractors, and contract modifications.
• Maintain billing records, client remittance information, and supporting documentation.
• Submit invoices through client billing portals and resolve invoicing issues as needed.
• Monitor accounts receivable aging and assist with collection efforts on outstanding balances.
• Partner with Project Managers and clients to address billing questions, payment issues, and invoice discrepancies.
• Track unbilled receivables and support timely revenue capture.
• Assist with project setup by entering contract terms, billing structures, rate tables, and revenue methods.
• Support new client and project onboarding activities within the accounting system.
• Receive, code, and route subcontractor and subconsultant invoices for approval and payment processing.
• Verify subcontractor invoices align with project budgets and contractual requirements.
• Assist with cash receipt coding, payment application, and reconciliation of billing discrepancies.
• Provide project financial support, reporting, and billing analysis to Project Managers and internal stakeholders.
• Support project closeout activities, including final invoicing and accounts receivable reconciliation.
• Assist with audits, compliance reviews, and other accounting or administrative projects as assigned.
