The Project Associate assists the State Alliance team with organizing and controlling key programs and project activities. In addition, they coordinate meetings, resources, equipment, information, system access, and communications. Their roles are crucial to the success of the program because they touch all aspects of the program activities.
REPORTS TO
GENERAL RESPONSIBILITIES
The Project Associate responsibilities include, but are not limited to, the following:
- Participates in State Alliance oversight, communications, and orchestration;
- Coordinates resource on-boarding, off-boarding, and materials for states and Health Plan Managers.
- Supports and maintains program standards and templates, including document sharing and storage, with ownership of ongoing execution in collaboration with accountable stakeholders;
- Assists in the day-to-day activities related to issues raised by State Alliance partners (reporting, application information, training, error resolution);
- Acts as a liaison between dependent departments and participates in actively problem solving of common issues,
- Tracks and reports on project KPIs, providing regular updates to internal stakeholders to ensure alignment with program goals;
- Assists with creation of materials and distribution of materials to State Alliance partners;
- Logs and monitors key dependencies across all project tracks within and outside the program, acting in an administrative support capacity, with specialist input and escalation overseen by the Account Executive as needed;
- Gathers information needed to create the project status reports;
- Maintains and organizes program artifacts to ensure materials are current and accessible while usage and application remain the responsibility of relevant stakeholders;
- Coordinate system access requests for State Alliance partners;
- Captures and documents meeting notes, key decisions, action items, and follow-ups;
- Assists in the preparation of materials for key program meetings, such as the weekly program status, governance, and executive steering committee meetings;
- Coordinate and update program content to support alignment and consistency across the team;
- Supports adherence to program documentation and naming standards by promoting consistency and best practices;
- Provides administrative and logistic support;
- Demonstrates an ability to work in a team environment;
- Works cooperatively with other departmental teams within the company;
- Performs miscellaneous tasks/projects as assigned by manager.
The Project Associate must also maintain a current knowledge of applicable federal and state laws and regulations, including industry best practices. During lawful compliance reviews or investigations, the Project Associate will cooperate with the appropriate regulatory entities.
QUALIFICATIONS
Education: Must have a High School Diploma, or High School Equivalency Diploma (GED). Bachelor’s Degree is preferred. Certification in project management is preferred.
Work Experience: 2 to 5 years’ experience in project management or related role.
Skills/ Competencies: A successful candidate for the Project Associate position will possess the following skills and/or competencies:
- Advanced skills in MS Word, Outlook, PowerPoint, and Excel;
- Excellent communication and interpersonal skills;
- Strong organizational and multi-tasking skills;
- Excellent analytical and problem-solving abilities;
- Experience with project management tools;
- Attention to detail, even under pressure;
- Time management skills with the ability to meet deadlines;
- Enjoys working in a fast-paced environment.
