Job Title: Project Assistant (Residency Program Coordinator / Manager)
Location: New York, NY 10029
Schedule: Monday–Friday | 8:00 AM – 5:00 PM
Duration: 13-week contract (high possibility of extension)
Pay Rate: $32 – $35 per hour
Job Summary
We are seeking an experienced Residency Program Coordinator / Manager to support the operational, academic, and administrative functions of a medical residency program. This role is responsible for managing day-to-day program operations, ensuring compliance with ACGME requirements, supervising support staff, and partnering closely with the Program Director to support educational and accreditation activities.
Key Responsibilities
Program & Operations Management
- Manage and coordinate all operational activities of the residency program.
- Supervise assigned support staff, including the Assistant Residency Coordinator.
- Oversee day-to-day operations for residents and attending physicians.
- Collaborate with the Program Director and Business Specialist to prepare and submit the annual program budget.
- Monitor departmental budgets, expenditures, and related financial processes.
Scheduling & Educational Coordination
- Coordinate educational activities including didactic conferences, Grand Rounds, and curriculum support in alignment with ACGME standards.
- Develop, maintain, and distribute resident rotation, vacation, and leave schedules using electronic systems.
- Ensure compliance with duty hour requirements.
- Coordinate and validate billing administration for external rotation institutions.
Accreditation & Compliance
- Participate in accreditation and review activities with Program leadership, faculty, residents, and committees.
- Ensure ongoing compliance with ACGME accreditation standards and institutional policies.
- Create, review, and maintain residency program policies and procedures.
- Monitor regulatory and institutional compliance requirements.
Administrative Support
- Maintain confidential resident files and attendance records for required educational activities.
- Provide administrative support to the Program Director, including scheduling meetings, preparing agendas, recording and maintaining meeting minutes, and preparing reports.
- Recommend improvements to program goals, objectives, and operational processes.
- Perform additional ad-hoc duties as assigned.
Required Qualifications
- Bachelor’s degree or equivalent (required)
- Minimum of 3 years of administrative experience in a medical and/or academic setting
- Strong working knowledge of ACGME requirements and residency program compliance
- TAGME certification preferred or willingness to obtain within 6 months
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with data collection, data entry, and database management
- Knowledge of administrative and financial processes, including budgeting and expenditures
- Strong organizational skills with the ability to manage multiple priorities
- Ability to work independently with minimal supervision
- Experience coordinating multiple functions and leading mid-size projects (preferred)
- Strong understanding of compliance and regulatory standards in graduate medical education
