Position Overview

We are seeking a detail-oriented Project Administrator to join our growing team. This role is perfect for someone who thrives in a fast-paced construction environment and is excited about leveraging technology and automation to streamline business processes. The ideal candidate will support our project teams from initial design through project completion while helping us implement cutting-edge tools and AI solutions.

Key ResponsibilitiesProject Management & Coordination
  • Review construction documents and residential project plans
  • Prepare detailed scopes of work and cost estimates using electronic takeoff software
  • Create comprehensive client proposals and presentations
  • Coordinate material selections with designers, clients, and suppliers
  • Ensure timely material delivery to maintain production schedules
  • Track and allocate client selection costs accurately to individual projects
  • Coordinate with architects, structural engineers, and interior designers during design phases
  • Facilitate smooth handoffs from design to production phases
Vendor & Subcontractor Management
  • Solicit and manage bid requests from vendors and suppliers
  • Maintain current vendor and subcontractor documentation, including insurance certificates and agreements
  • Verify subcontractor licensing compliance and good standing
  • Update and maintain accurate pricing databases for vendors and subcontractors
  • Negotiate optimal pricing and terms with suppliers
Process Improvement & Technology Integration
  • Collaborate with ownership to develop AI-powered cost estimating processes
  • Document and optimize business processes across design, pre-construction, and production phases
  • Implement automation tools to increase efficiency and accuracy
  • Research and recommend new technologies to enhance operations
Project Administration
  • Perform minor office administration tasks including mail processing and document management
  • Coordinate with bookkeeping team for accurate cost categorization
Additional Responsibilities
  • Support marketing initiatives as business needs require
Required Qualifications
  • High school diploma required; Bachelor's degree in Construction Management, Business, or related field preferred
  • 2-4 years of experience in construction administration or similar role
  • Excellent time management and multitasking abilities with strong prioritization skills
  • Exceptional attention to detail and problem-solving capabilities
  • Outstanding written and verbal communication skills
  • Proficiency in Excel or Google Sheets
  • Comfortable using AI tools such as Google Gemini or ChatGPT
  • Experience in residential construction cost estimating (remodels, custom homes, or ADUs)
  • Proficiency with Bluebeam or similar construction software
  • Ability to learn new technologies quickly and independently
  • Must be able to reliably commute to our San Diego office location
Preferred Qualifications
  • Experience with Google Workspace applications
  • Experience with construction management platforms (JobTread, BuilderTrend, Co-Construct, or similar)
  • Knowledge of Zapier, n8n, or other automation platforms
  • Background in construction or related field
Physical Requirements
  • Ability to sit at a computer for extended periods
  • Occasionally lift up to 25 pounds
  • Ability to perform office-based tasks with standard office equipment

Work Environment

This is an on-site position located at our San Diego office (8144 Miramar Road, San Diego, CA 92126). Candidates must be able to reliably commute to this location or be willing to relocate before starting work. Travel is local only and minimal.
