Job summary

Trinity Door Systems, Inc. is seeking a Project Administrator to keep project information accurate and accessible. You will support project delivery with data entry, documentation management, and task tracking, acting as a glue for the project team.

You will communicate with the team via email, phone, and in person, manage a queue of customer requests, and assist with bid packages and plan room organization for upcoming opportunities in Ohio.

Qualifications

  • Experience in construction administration or project administration.
  • Strong data entry and documentation management skills.
  • Excellent communication and organizational abilities.
  • Ability to work independently and prioritize multiple projects.
  • Experience with CRM and cloud-based tools.

Responsibilities

  • Maintain accurate project documentation across network server, CRM, and project tools.
  • Support Project Team by preparing data, verifying information, and flagging discrepancies.
  • Review, clarify, and confirm customer requests under guidance of Project Estimators.
  • Communicate clearly with team members via email, phone, and in-person.
  • Proactively manage a queue of customer requests and coordinate task assignments.
  • Assist with preparing documentation for customers and organizing bid invites.
  • Build job books for new RFQs across systems.

The Project Administrator supports project delivery by being the glue to hold it all together through accurate data entry, documentation management, and task tracking. What are the Job Demands?
  • Maintain accurate project documentation and tracking across network server, CRM, and project tools
  • Support Project Team by preparing data, verifying information, and flagging discrepancies
  • Review, clarify, and confirm customer requests under the guidance of Project Estimators, ensuring all details are accurate before responding
  • Communicate clearly with team members through email, phone, and in-person interactions
  • Proactively manage a queue of customer requests, prioritizing work to meet deadlines and coordinating task assignments to other team members as needed
  • Assist with preparing documentation for customers
  • Learn to review subcontract documents
  • Maintain professional relationships that reflect the company's mission, vision, and values.
  • Manage and organize shared Estimating inbox
  • Organize bid invitations for Estimators
  • Manage plan rooms like Builder’s Exchange for upcoming project opportunities
  • Gather information and prepare bid packages and maintain in CRM.
  • Build job books for new RFQs across systems
What Skills Do I Need to Meet Those Demands?
  • Professional, honest, outgoing individual
  • Experience in construction administration or project administration
  • Attention to detail and killer computer skillz
  • Superior responsiveness and follow-up
  • Desire to continually grow and learn
  • Ability to work flying solo while still able to collab with the team
  • Demonstrated communication and organizational skills
  • Exposure to data entry, data validation, documentation management, or customer requests
  • Experience supporting internal teams by managing tasks, tracking status, and following established processes.
  • Must be able to work independently, balance deadlines, and prioritize tasks on multiple projects.
  • Experience with Gsuite, Excel, Word, and ability to learn our cloud-based CRM and sales software.
Bonus Abilities!
  • Experience reading, and interpreting architectural drawings, schedules, and specifications
  • Experience with online plan rooms
  • Experience with certified payroll and AIA forms

  • This is a full time gig, M-F 7AM-4PM

THE FINE PRINT:

This position begins with a 90-day trial, followed by an evaluation to determine suitability for permanent position. Employment conditions include signing a confidentiality agreement. This is an onsite position in Ohio. No remote or out-of-state applicants can be considered for this opening.
