Job summary

BLUvera, a Mortenson affiliate, is seeking an Operations & Administrative Coordinator to support day-to-day facility operations and onboarding processes. You will coordinate visitors, vendors, training, and workforce communications while assisting leadership with reporting and special projects.

Responsibilities span purchasing, inventory management, payroll-related admin, and facility coordination. Required: high school diploma, 3+ years’ experience, and strong MS Office skills.

Qualifications

  • High school diploma or equivalent.
  • 3+ years in administrative, operations coordination, or similar roles.
  • Strong proficiency in Microsoft Office (Excel, Outlook, Word, Teams).
  • Excellent organizational skills and attention to detail.

  • Ability to work independently while coordinating across multiple teams.

Responsibilities

  • Support day-to-day operational activities across the facility.
  • Coordinate visitors, contractors, vendors, customers, and site guests.
  • Support hiring activities, interview scheduling, candidate visits, and onboarding logistics.
  • Coordinate training schedules, employee events, workforce activities, and facility communications.
  • Assist operations leadership with administrative support, communications, reporting, and special projects.
  • Help identify and address operational support needs to keep the facility running efficiently.
  • Create and manage purchase requisitions and purchase orders.
  • Track orders, deliveries, and vendor communications.
  • Process receiving documentation and maintain records.
  • Coordinate invoice matching and purchasing documentation.
  • Maintain inventories of PPE, office supplies, and common-use materials.
  • Coordinate replenishment of operational and administrative supplies.
  • Support inventory audits and material tracking activities.
  • Process and review employee timekeeping records.
  • Support payroll-related administrative activities and resolve discrepancies.
  • Maintain employee records, onboarding documentation, and workforce files.
  • Support PTO administration and time-off records.
  • Maintain training matrices, certifications, and training documentation.
  • Coordinate required training, recertifications, and workforce compliance tracking.
  • Support onboarding activities for new employees and contractors.
  • Coordinate facility service requests and external service providers.
  • Assist with workspace setup, office equipment, furniture coordination, and employee resources.
  • Manage visitor processes, access requests, badges, keys, and facility support needs.
  • Coordinate common area needs and facility consumables.
  • Serve as a liaison between facility users and service providers to resolve site-related issues.
  • Maintain personnel, operational, training, safety, and administrative records.
  • Maintain document libraries, forms, templates, and controlled documents.
  • Assist with document control and revision management activities.
  • Support audits, inspections, and compliance recordkeeping.
  • Ensure current operational documents and standards are readily accessible.
  • Maintain labor, attendance, staffing, and training reports.
  • Compile operational data and recurring reports for leadership.
  • Assist with dashboards, presentations, and operational reporting.
  • Coordinate site communications, announcements, and information boards.
  • Maintain organized electronic and physical filing systems.

Key Responsibilities
Operations Coordination

  • Create and manage purchase requisitions and purchase orders.

  • Maintain inventories of PPE, office supplies, breakroom supplies, consumables, and common-use materials.
  • Coordinate replenishment of operational and administrative supplies.

Workforce & Training Administration
  • Process and review employee timekeeping records.
  • Support payroll-related administrative activities and resolve discrepancies.
  • Maintain employee records, onboarding documentation, and workforce files.

  • Maintain training matrices, certifications, qualification records, and training documentation.

The base pay range for this role is $51,000 - $68,900. (Actual range is higher for the following office locations: Denver, CO and Chicago, IL - 5%, Seattle, WA, and Portland, OR - 10%, Washington, D.C. - 12.5%).

Base pay is positioned within the range based on several factors including an individual's knowledge, skills, and experience, with consideration given to internal equity.
