The Project Administrative Coordinator provides essential support to a District, Area, or Functional Group by assisting with assigned projects and various administrative functions. This role is responsible for maintaining accurate tracking of project deliverables and deadlines, supporting office management tasks, and ensuring timely communication and reporting. The successful candidate will thrive in a fast-paced environment and have a strong orientation toward problem-solving, organization, and customer service.
Key Responsibilities:Project and Program Support:
- Maintain and update project tracking systems to ensure accuracy, including third-party platforms.
- Track project deliverables, milestones, and timelines; monitor deadlines and communicate issues proactively.
- Generate regular status reports and highlight any variances or issues to management.
- Develop, organize, and maintain comprehensive and accurate files and documentation for projects and programs.
- Create and distribute internal and external project correspondence.
Administrative Support:
- Provide administrative assistance for meetings, including preparation of materials, scheduling, and follow-up.
- Produce ad hoc reports and documentation as requested by management or team leads.
- Assist in issuing Purchase Orders (POs) to vendors and tracking related documentation.
- Communicate issues or potential delays to leadership prior to escalation.
Office Management Duties:
- Coordinate day-to-day office management activities such as ordering supplies, handling shipments, and coordinating office events.
- Liaise with office vendors and manage payments for utilities, garbage, coffee services, and other regular services.
- Maintain a clean, organized, and efficiently run office environment.
Required Qualifications:Education:
- High school diploma or equivalent required.
- Associate’s degree or equivalent work experience preferred.
Experience:
- 1 to 3 years of experience in a general business environment with a focus on project coordination and/or administrative support.
Skills and Abilities:
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
- Ability to learn and use various project management and tracking software platforms.
- Excellent organizational and administrative abilities with strong attention to detail.
- Strong interpersonal and written/verbal communication skills.
- Ability to work independently and as part of a team in a dynamic, fast-paced setting.
- Demonstrated customer service focus and a proactive problem-solving mindset.
- Capable of managing multiple tasks and shifting priorities effectively.
Working Conditions:
- Standard office environment with typical business hours.
- Minimal exposure to adverse environmental conditions.
- Occasional need for light physical activity related to office supply handling or event setup.
