Qualifications

  • 3+ years of experience in project accounting, billing, or construction finance.
  • Strong knowledge of AIA billing, job costing, and compliance tracking in a construction setting.
  • Familiarity with construction contracts and change order processes.
  • ERP or construction accounting software experience (COINS, Vista, Spectrum) is a plus.
  • Proficiency in Microsoft Excel and other Office tools.

  • Billing & Revenue Management:Prepare and process customer billings, including AIA applications, progress billings, and monthly pay applications.
  • Submit invoices and supporting documentation through customer portals and third-party platforms.
  • Review unbilled reports and coordinate with Project Managers for timely billing and revenue recognition.
  • Assist with collections activities and follow‑up on receivables.
  • Support customer ACH setup and related billing requirements.

Position Overview

The Project Accountant plays a critical role in supporting the financial and administrative functions of construction projects throughout the project lifecycle. This position is responsible for customer billing, contract compliance, change order administration, collections support, subcontractor documentation, certified payroll reporting, lien waiver processing, and project closeout activities. Working closely with Project Managers, Accounting, customers, subcontractors, and field teams, the Project Accountant helps ensure accurate financial reporting, timely billing, regulatory compliance, and successful project execution.

Key Responsibilities

These responsibilities generally describe the nature of the position and may not be all inclusive:

  • Billing & Revenue Management
    • Prepare and process customer billings, including AIA applications, progress billings, and monthly pay applications.
    • Submit invoices and supporting documentation through customer billing portals and third-party platforms, including Textura, Procore, Ariba, and other customer-required systems.
    • Review unbilled reports and collaborate with Project Managers to ensure timely billing and revenue recognition.
    • Assist with collections activities and follow up on outstanding receivables.
    • Support customer ACH setup and related billing requirements.
  • Project Accounting & Financial Administration
    • Review project setup requirements and establish billing, certified payroll, and compliance reporting requirements.
    • Track and maintain project change orders to support accurate revenue capture throughout the project lifecycle.
    • Contribute to monthly Work-in-Progress (WIP) reporting and financial review processes.
    • Review open accounts payable reports and coordinate subcontractor and supplier payments as appropriate.
  • Compliance & Documentation Management
    • Administer project documentation, including lien waivers, certified payroll reporting, subcontractor compliance documents, and project closeout packages.
    • Request, review, and distribute certified payroll reports and related documentation for prevailing wage and government-funded projects.
    • Review labor reporting to support compliance with project-specific requirements.
    • Create and maintain DocuSign templates and project documentation.
    • Process project closeout documentation, including G706, G707, IC134, and other required closeout forms.
    • Ensure subcontractor documentation, insurance certificates, and onboarding materials remain current and compliant.
  • Project Coordination & Support
    • Serve as a liaison between Accounting, Project Management, customers, subcontractors, and field operations.
    • Monitor contract requirements and support project documentation needs.
    • Assist other divisions and departments with billing and project accounting activities as needed.
  • Perform other duties as assigned.
