The role: Programs & Coordination

We’re looking for someone who thrives on creating order, discretion, and forward momentum behind the scenes for this Programs & Coordination role. This person wears multiple hats: business operations for our growing hub in Boston, executive support to our leadership team and workplace orchestrator. It’s perfect if you are equal parts meticulous operator, savvy communicator, and calm problem-solver.

What you’ll be doing
Business Operations Support
  • Support cross-functional workflows such as vendor onboarding, internal approvals, and ad hoc operational problem-solving.
  • Manage onboarding and administration of internal tech tools (e.g., Google Workspace, Notion, WhatsApp, Slack) and maintain user access and permissions.
  • Help identify and implement improvements that make studio operations more effective and scalable.
Executive Support & Administration
  • Manage complex calendars for the leadership team - prioritize high-value meetings, resolve conflicts, and ensure executives are fully briefed in advance.
  • Schedule and coordinate key studio-wide events and cross-functional team meetings; ensure agendas, logistics, and action items are handled.
  • Maintain organized workflows, document management systems, and ensure timely access to important and operational information.
  • Arrange travel and accommodations; manage expense submissions, reimbursements, and approval flows.
Workplace & Culture Support
  • Assist with planning and executing internal team events, offsites, and casual celebrations.
  • Support team engagement initiatives that promote connectivity and belonging across distributed teams.
