Job summary

E2 Optics, LLC is seeking a Program Support Specialist to coordinate projects remotely across the US. You will oversee invoicing, procurement, and vendor management while ensuring contractual compliance and budget alignment.

Qualifications

  • Education: High school diploma or GED required.
  • OSHA 10 within first 2 weeks in role.
  • Experience in project coordination, administration, or program support preferred.
  • Strong organizational and time management skills with attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with project management and financial systems (NetSuite, Smartsheet, Lever, Paycom) preferred.
  • Excellent communication and interpersonal skills to collaborate with teams, vendors, and subcontractors.
  • Strong understanding of financial processes including invoicing, PO management, and budget tracking.

Responsibilities

  • Independently manage project invoicing and budget compliance in alignment with contracts.
  • Oversee procurement and provisioning of project assets with policy development and cost optimization.
  • Develop and enforce procurement workflows aligned with budgets and timelines.
  • Act as liaison with external vendors, handling onboarding and COI management.
  • Support subcontractor onboarding with documentation standards and compliance.
  • Resolve timecard exceptions and approve backups in the PM's absence.
  • Coordinate and approve complex travel requests within budget and policy.
  • Lead project meeting coordination and ensure accountability across teams.
  • Draft and process change orders with impact analysis and approvals.
  • Collaborate with HR and project leadership on staffing and onboarding strategies.
  • Maintain customer bid templates and project documentation for audit readiness.
  • Oversee equipment return and cost recovery through vendor negotiation and logistics.

Program Support Specialist Location

What You'll Do

  • Independently manage project invoicing and budget compliance, reviewing terms against contract requirements and resolving discrepancies with internal stakeholders and clients
  • Oversee procurement and provisioning of project-critical assets (e.g., laptops, access badges, specialized equipment), including policy development, vendor selection, and cost optimization strategies
  • Develop and enforce procurement workflows, ensuring alignment with project budgets, timelines, and legal requirements
  • Act as the primary liaison with external vendors, handling onboarding, compliance reviews, COI management, and performance evaluations
  • Support subcontractor onboarding by implementing and maintaining documentation standards and ensuring legal and contractual compliance
  • Use independent discretion to resolve issues related to timecard exceptions, job code alignment, and field hour discrepancies, providing backup timecard approvals in the PM's absence
  • Coordinate and approve complex travel requests, balancing business needs with budget constraints and policy requirements
  • Lead coordination and documentation of project meetings, ensuring decisions are captured, deliverables assigned, and cross-functional accountability is maintained
  • Assist in drafting and processing change orders, including impact analysis and approvals aligned with project scope and financial targets
  • Collaborate with HR and project leadership to support staffing needs, including job requisition planning, onboarding strategy, and compliance reviews
  • Maintain and standardize customer bid templates and project documentation systems to ensure audit readiness and alignment with client expectations.
  • Oversee the return of project equipment, ensuring accountability and cost recovery through vendor negotiation and logistics coordination.
  • Travel: The individual in this role should be able and willing to travel as required by E2 Optics.

Work Environment and Physical Demands

The standard work environment for this position is an indoors business office and construction environment. The noise level in the work environment is usually moderate. This role requires sitting, use of hands and arms, verbal communication, and occasional physical movement such as stooping or kneeling. The employee is frequently required to stand and walk. The employee must regularly lift and/or move up to 40 pounds and frequently lift and/or move up to 25 pounds. The employee must regularly carry and climb ladders to 20 feet. Must be able to operate equipment such as scissor lifts, telehandlers, boom lifts, and UTVs (buggies) if required to do so. The employee may also be required to work in tight and confined spaces.
