The Amego, Inc. Program Support Coordinator provides administrative, coordination, and follow‑up support to the Director of Program Support Services and Adult Services programs. The position assists with gathering and organizing information, documentation, benefits support, referrals, routine communication, and tracking outstanding needs. Salary Range: $45,000-$48,000/year.

The role requires an Associate's or Bachelor's degree and a Day shift, Full Time role in the United States.

Qualifications

  • Associate's or Bachelor's degree in human services, social services, business administration, healthcare administration, or related field preferred.
  • Experience in human services, healthcare, benefits, case coordination, or administrative support preferred.
  • Experience working with individuals with intellectual and developmental disabilities preferred.
  • Strong organizational, communication, documentation, computer, and follow up skills.
  • Ability to manage multiple priorities, requests, records, and deadlines.
  • Ability to communicate professionally with individuals, families, guardians, staff, providers, and outside agencies.
  • Ability to recognize when a matter requires escalation to the Director.

Responsibilities

  • Gather, organize, and track documentation related to individuals and Program Support Services.
  • Request records and information from families, guardians, DDS, healthcare providers, programs, and other involved parties.
  • Assist with forms, correspondence, routine documentation, and preparation of materials.
  • Track outstanding requests, documentation, deadlines, and follow up needs.
  • Assist with gathering and organizing admission and intake documentation.
  • Communicate with families, guardians, DDS, programs, and providers regarding required information and outstanding items.
  • Provide administrative support and follow up related to admissions, residential moves, program changes, transitions, and discharges.
  • Assist with gathering information and documentation related to Social Security, MassHealth, Medicare, SNAP, insurance, and other benefits.
  • Assist with benefit applications, renewals, requests for information, and routine follow up.
  • Help individuals, families, guardians, and programs access information regarding available benefits, services, and community resources.
  • Coordinate benefit related needs with appropriate Program Support Services staff.
  • Respond to routine questions and requests from individuals, families, guardians, programs, and outside providers.
  • Gather information for the Director when additional review or decision making is needed.
  • Assist with referrals to community providers, agencies, and resources.
  • Obtain information regarding services, eligibility, availability, required documentation, and referral processes.
  • Track referrals, requests, and outstanding needs through completion.
  • Provide routine updates to appropriate individuals, families, guardians, programs, and providers.
  • Assist the Director with gathering information and materials related to individual needs, medical situations, guardianship, transitions, and other support needs.
  • Provide administrative and coordination support during hospitalizations, rehabilitation stays, and other significant situations as directed.
  • Work collaboratively with residential and day program staff, nursing, clinical and behavioral services, Fiscal, families, guardians, DDS, healthcare providers, and community agencies.
  • Bring concerns, unresolved matters, and situations requiring additional review to the Director.

Position Summary

The Program Support Coordinator provides administrative, coordination, and follow up support to the Director of Program Support Services and Adult Services programs. The Program Support Coordinator helps ensure requests and required information are followed through in a timely manner, while complex situations, sensitive conversations, and higher level decision making remain with the Director.

Essential Responsibilities
Administrative and Documentation Support
  • Gather, organize, and track documentation related to individuals and Program Support Services.
  • Request records and information from families, guardians, DDS, healthcare providers, programs, and other involved parties.
  • Assist with forms, correspondence, routine documentation, and preparation of materials.
  • Track outstanding requests, documentation, deadlines, and follow up needs.
Admissions and Transitions
  • Assist with gathering and organizing admission and intake documentation.
  • Communicate with families, guardians, DDS, programs, and providers regarding required information and outstanding items.

Scope of Role

The Program Support Coordinator provides administrative, information gathering, coordination, resource, and follow up support under the direction of the Director of Program Support Services. The position is intended to increase departmental capacity by assisting with routine responsibilities and ensuring information, documentation, referrals, and requests are followed through appropriately.

The Director retains responsibility for complex decision making, sensitive individual and family matters, significant rights and guardianship concerns, complex medical situations, hospice and end of life support, crisis coordination, difficult conversations, and matters requiring Director level judgment or intervention.

Salary Range: $45,000-$48,000/year
