JOB SUMMARY

The Program Secretary completes secretarial tasks; provides confidential administrative support; organizes and coordinates office activities; acts as a liaison for administrators with ESC staff, school district staff, and community agencies; and serves internal and external customers in a courteous and professional manner. In addition, the Program Secretary will coordinate conference room scheduling and assist with the implementation of professional development events.

Job Requirements
  • QUALIFICATIONS
    -High School diploma or its equivalent.
    -Experience and proficiency with computer applications, including Microsoft Office and Google; ability to use various web-based computer applications to perform job duties
    -Working knowledge of basic office procedures and operation of common office equipment and machines
    -Ability to write and speak effectively and ability to promote positive customer relations
    ESSENTIAL FUNCTIONS
    -Type, proofread, reproduce, collate, and disseminate correspondence, forms, educational materials, grants, reports, memoranda, work orders, and other items as required
    -Design, type, proofread, reproduce, assemble, and disseminate newsletters, brochures, and other products as needed.
    -Prepare, process, and track purchase orders; ensure materials are delivered to appropriate staff; coordinate with finance office to ensure invoices are processed correctly
    -Coordinate meetings and activities including creation of materials, dissemination of information and arranging for meeting location and materials
    -Manage conference room scheduling for meetings and professional development events
    -Assist in preparing meeting space, including setting up tables, chairs, preparing refreshments, registering participants, and taking minutes when necessary -Maintain an efficient and functional filing system that ensures safe and efficient retrieval of program records -Responsibly collect and enter required data related to work responsibilities within designated timeframes -Handle email and phone messages and deliver contents accurately to the appropriate person -Answer incoming calls in accordance with established procedures; assist callers by providing accurate information or transferring caller to appropriate staff; receive messages and transfer to appropriate staff -Interpret and apply Board Policy, Administrative Rules and regulations as appropriate SALARY
    Based on salary schedule and/or commensurate with experience and education.
  • At least 3 year(s) of relevant experience preferred.
  • High School/Trade School degree preferred.
  • Citizenship, residency or work visa required
