Job summary

Worcester Housing Authority seeks a Program Representative to provide bilingual customer service, clerical, analytical and administrative support in the Resident Services department. The role is full-time, onsite in Worcester, MA, Monday–Friday, 8:00 a.m.–4:30 p.m., with occasional overtime and a strong benefits package.

The position requires a high school diploma, two years of office experience, and excellent Microsoft Office skills.

Qualifications

  • High school diploma or equivalent required; college degree is a plus.
  • Minimum of two years of professional office experience.
  • Excellent computer skills, especially Microsoft Teams, Word, Excel, and Outlook.
  • Exceptional customer service and interpersonal communication; calm and personable.
  • Ability to read, write, type, speak, and understand English well; bilingual a plus.
  • Ability to multi-task, stay organized, and meet deadlines.
  • Reliable and available for work; able to sit long periods and lift up to 15 pounds as needed.

Responsibilities

  • Answers phones, responds to questions, takes messages, or routes calls to staff.
  • Receives visitors, processes mail, handles supply orders, and prepares meeting rooms.
  • Researches grant applications and supports WHA Grant writer.
  • Prepares reports, analyzes data, and provides information to funders.
  • Attends meetings and records minutes.
  • Maintains catalog of WHA Life Skills classes.
  • Updates and validates client databases and generates weekly status reports.
  • Maintains language-learning software listings and tracking spreadsheets.
  • Audits and validates data in master spreadsheets and databases.
  • Organizes files, opens/closes cases, and ensures record-keeping standards.
  • Creates templates and documents for staff.
  • Updates bulletin boards with client services information.
  • Drafts and sends communications; supports special projects.
  • Performs similar duties as assigned.

POSITION SUMMARY:

The Resident Services Program Representative provides bilingual customer service, clerical, analytical and administrative support to the Resident Services department. This is a full-time, onsite (not remote) position, Monday through Friday, 8:00 a.m. – 4:30 p.m. with occasional overtime for special events or meetings. This is a union position with a robust benefit package and generous paid time off.

ESSENTIALS FUNCTIONS:
  1. Answers phones, responds to questions, takes messages, or routes calls to appropriate staff;
  2. Completes administrative tasks such as receiving and greeting visitors to the office, collecting and distributing mail, processing supply orders and purchase receipts; and preparing conference/meeting rooms for use;
  3. Researches grant applications, and provides requested information to WHA Grant writer;
  4. Prepares reports, analyzes data, and provides responses and documentation to funders;
  5. Attends meetings and prepares meeting minutes as directed;
  6. Provides support in creating and updating the catalog of WHA Life Skills classes;
  7. Collects, validates, and maintains client databases, generates and tracks report submission, updates formulas, recalibrates, checks totals, and provides weekly status updates;
  8. Maintains and reviews data from language-learning software programs - ads and removes users, and updates tracking spreadsheet;
  9. Cross-checks, audits, and validates data on master spreadsheet and other databases;
  10. Organizes and maintains files including client files and records; opens and closes cases; conducts audits of client records to assure that record-keeping standards are met;
  11. Creates templates and documents for staff;
  12. Updates bulletin boards and displays with information on client services;
  13. Drafts and sends out communications as requested;
  14. Assists Resident Services staff with special projects, as assigned.
OTHER REPONSIBILITIES:
  • Performs similar job-related duties as assigned.
Qualifications:

High school diploma or equivalent required; college degree is a plus.

Minimum of two (2) years of professional office experience in a clerical/administrative role.

Excellent computer skills, specifically in Microsoft (Teams, Word, Excel, and Outlook).

Exceptional customer service and interpersonal communication skills; calm and personable demeanor and ability to deescalate.

Ability to compute basic mathematical calculations and to use a calculator.

Strong attention to detail; ability to multi-task, stay organized, and meet deadlines in a busy environment with frequent interruption.

Ability to read, write, type, speak, and understand English well. Bilingual candidates a plus.

Ability to be relied upon to be available for work.

Ability to spend prolonged periods sitting at a desk and working on a computer.

Ability to spend occasional time walking, including climbing stairs.

Ability to occasionally lift up to 15 pounds.
