About the Role
We are seeking an organized, mission-driven Project Manager to oversee the successful execution, compliance, and operational delivery of our mental wellness programs. In this role, you will be accountable for program quality, participant outcomes, grant compliance, and on-time project delivery.
As the operational backbone of the project, you will manage program logistics, facilitate cross-functional team scheduling, maintain funder compliance, and track outcome metrics. This position offers an initial 10-month contract term with strong potential for annual multi-year renewal based on grant extension and performance.
Key Roles & Responsibilities
- Attend all required grant-related meetings, technical assistance sessions, and funder calls as the primary operational representative.
- Ensure all shared grant guidelines, funder policies, standard operating procedures, and reporting frameworks are strictly followed across all program activities.
- Gather qualitative stories, participant statistics, and outcome metrics to compile comprehensive final reporting and executive-level presentations that position the program for successful grant renewal and expansion.
- Maintain complete, audit-ready files for all contractual deliverables, compliance documentation, and financial expenditures.
- Own the day-to-day delivery of the program, fostering a culture of accountability, professionalism, and continuous improvement across the 10-month initiative.
- Align work schedules and priorities between team members to ensure seamless event execution, venue bookings, equipment setup, and outreach campaigns.
- Oversee vendor relationships, coordinate event logistics, and ensure workshop toolkits and promotional materials are procured, cataloged, and distributed effectively.
- Oversee systems for gathering and evaluating participant attendance, resource referrals, and pre- and post-program feedback tools.
- Track Key Performance Indicators (KPIs) against grant benchmarks and proactively implement mitigation plans if metrics drop below targets.
- Ensure all participant data, records, and operations strictly adhere to organizational privacy standards, ethical boundaries, and HIPAA guidelines.
- Monitor project expenses, track supply and event spending against grant allocations, and process invoices and expense reports accurately.
- Maintain central project files, meeting agendas, action items, and operational documentation to keep our small team agile and organized.
- Exercise independent judgment regarding project priorities, resource allocations, and implementation strategies in close alignment with executive leadership.
Qualifications & Experience
Required Qualifications:
- Project Management Experience: 2–4+ years of experience in project management, program coordination, or operational leadership (non-profit or community health)
- Proven Outcome Track Record: Demonstrated experience meeting or exceeding program outcome targets, grant deliverables, and reporting deadlines.
- Data & Reporting Proficiency: Strong proficiency in data collection, feedback analysis, and professional executive-level report writing (proficient with MS Excel/Google Sheets, project management platforms, and document suites).
- Communication & Leadership: Excellent written and verbal communication skills, with a track record of leading cross-functional teams and building collaborative stakeholder relationships.
- Compliance & Professional Standards: Ability to handle sensitive data with high confidentiality, ethical integrity, and professional boundaries.
Preferred Qualifications:
- Certifications: PMP, CAPM, or related project management certification is a plus.
- Veteran Program Familiarity: Prior experience working within military/Veteran support networks or familiarity with Veteran culture and service organizations.
- Educational Background: Bachelor’s degree in Business Administration, Human Services, Healthcare Management, Public Administration, Social Sciences, or equivalent practical experience.
