Position Summary

The Irving Institute for Clinical and Translational Research seeks a Program Manager for its Clinical and Translation Science Pilot Award Program and Dissemination and Implementation Science Program. Reporting to the Assistant Director for Translational Science and Implementation Science, the Program Manager will work independently and proactively on the development and implementation of clinical and translational science programs, including the Irving Institute’s pilot award program and dissemination and implementation science consultation service and educational programming. The Pilot Program provides funding to Columbia investigators to stimulate innovations that address clinical and translational science barriers and institutional, local, and national priorities. The Dissemination and Implementation Science Program helps investigators apply cutting‑edge implementation science methods to support the adoption and integration of proven approaches across clinical, public health, and community settings. The Irving Institute is home to Columbia University’s Clinical and Translational Science Award (CTSA), which was launched by the National Institutes of Health (NIH) in 2006 and has expanded to over 60 academic medical institutions across the United States.

Responsibilities
Pilot Award Program
  • Manage the day‑to‑day aspects of the pilot application and award cycles, including drafting pilot funding opportunity requests for applications (RFAs).
  • Advertising RFAs across Columbia University’s campuses.
  • Serving as the primary contact for applicants’ questions and inquiries.
  • Coordinating the application review process and selection committee meetings.
  • Managing the prior approval process for human subjects and live vertebrate animal research for awarded projects; serving as the QA/QC lead for all submissions to NIH.
  • Announcing pilot awardees via Irving Institute website and newsletter.
  • Coordinating support for pilot awardees.
  • Monitoring project progress.
  • Support the pilot award consultation service, including scheduling; record keeping and tracking/metrics; and submissions platform management.
Dissemination & Implementation Science (IS) Program
  • Manage the day‑to‑day aspects of the implementation science consultation service, including scheduling; record keeping and tracking/metrics; submissions platform management; and serving as the primary contact for questions and inquiries from researchers.
  • Help maintain updated content for IS science webpage in coordination with Communication team.
  • Support and organize virtual or in‑person seminar series, educational programs and training, and other events as determined by leadership. This would include registration; attendance tracking; liaising with speakers and IS team for planning, coordinating, and communications; and supporting logistics and development of educational/training materials.
  • Coordinate Works in Progress and career development sessions for implementation science trainees or faculty to receive feedback on grants and research products.
  • Help maintain tracking and databases of IS science faculty across CUIMC and Columbia.
  • Work with IS faculty on development of collaborations and projects/activities with the state and local Departments of Health.
  • Support internal IS consultations with Irving Institute teams (e.g., support of session logistics and dissemination plans).
Shared Program Management
  • Schedule and coordinate meetings and events.
  • Assist in the development of internal and external communications and marketing initiatives.
Minimum Qualifications

Bachelor’s degree or the equivalent in education, training, and experience, with at least three years of relevant work experience in project management.

Preferred Qualifications
  • Organized and detail‑oriented with the ability to prioritize and manage multiple tasks simultaneously, efficiently, and effectively.
  • Excellent written and oral communication skills.
  • Flexible team player with a strong customer service‑minded work ethic and an ability to interact effectively and independently with all levels of faculty, management, and staff.
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams, and SharePoint).
  • Experience with web applications and ability to quickly learn new computer and database programs.
  • Familiarity with research administration, Institutional Review Boards (IRBs), and/or federal human subjects research regulations will make candidates especially competitive.
