Job summary

Gravity IT Resources is seeking a Program Manager II for its Lighthouse program. This remote contract role supports executive engagements, program documentation, and dashboards, coordinating schedules across multiple customers and time zones.

Qualifications

  • Bachelor's degree in a business-related field or equivalent
  • PMP certification or equivalent project/program operations credentials
  • 5+ years in program operations, project management, or enterprise customer engagement
  • Experience in enterprise technology or SaaS environments
  • Strong calendar, scheduling, and multi-time-zone coordination
  • Experience with CRM data maintenance and executive reporting
  • Proficiency with Google Workspace (Calendar/Drive/Docs/Sheets)
  • Experience using Slack, Zoom and related collaboration tools
  • Ability to produce executive-facing communications and materials

Responsibilities

  • Own the master calendar for customer engagements across time zones
  • Manage multi-party scheduling and escalate conflicts
  • Maintain program documentation, decks, profiles, and artifacts
  • Organize program information in Google Drive using standards
  • Track engagement history, status, and follow-ups
  • Prepare executive briefing materials with clear context
  • Draft customer-facing and executive communications
  • Compile data from Slack, email, calendars, CRM, and other sources for leadership reports
  • Support recurring program reporting, metrics, and dashboards

  • Maintain accurate customer data and program status in CRM

Program Manager II

You support the Lighthouse program, a strategic customer engagement and co-creation initiative for our client. You serve as the operational backbone, managing customer engagements, executive meetings, program documentation, data, reporting, and follow-up activities. You are highly organized, proactive, and comfortable interacting directly with senior executives and external customers. You independently handle multiple priorities in a fast-paced enterprise environment.

Responsibilities:
  • Own the master calendar for customer engagements, coordinating schedules across customers, executives, and internal stakeholders.
  • Manage complex, multi-party, multi-time-zone scheduling, prioritizing conflicts and escalating issues as needed.
  • Maintain customer engagement records, program documentation, meeting materials, customer profiles, agendas, lookbooks, decks, and other artifacts.
  • Organize and manage program information within Google Drive using standardized processes and documentation standards.
  • Track customer activity, engagement history, program status, outstanding action items, and follow-up activities.
  • Prepare executive briefing materials by gathering relevant customer and program context, presenting it clearly and concisely.
  • Draft and update customer-facing and executive-facing communications and materials.
  • Compile information from Slack, email, calendars, customer conversations, CRM systems, and other sources into recurring leadership reports.
  • Support recurring program reporting, metrics, and operational dashboards to provide visibility into program health and customer engagement.
  • Ensure customer engagements are documented properly from preparation through meeting completion and follow-up.
  • Maintain accurate and current customer information, engagement records, and program status within CRM and related systems.
  • Monitor data for completeness, consistency, and accuracy; resolve data quality issues promptly.
  • Establish scalable processes for managing customer and program information as the program grows.
  • Independently manage assigned projects and operational improvement initiatives.
  • Coordinate stakeholders across multiple teams, tracking deliverables, milestones, dependencies, and action items.
  • Identify blockers, elevate issues, and drive stakeholders toward completion.
  • Develop solutions for workflow gaps or inefficiencies without waiting for detailed instructions.
  • Improve processes through documentation, automation, AI tools, and operational best practices.
Requirements:
  • 5+ years of relevant experience in program operations, project management, business operations, executive operations, or customer engagement.
  • Extensive experience within enterprise technology environments.
  • Previous experience in an enterprise technology or SaaS organization preferred.
  • Strong experience managing complex workflows and priorities with limited oversight.
  • Experience supporting and communicating directly with senior executives and external customers.
  • Strong calendar and scheduling management skills, including coordination across multiple stakeholders and time zones.
  • Experience with CRM platforms and maintaining accurate customer and engagement data.
  • Strong experience with Google Workspace, especially Calendar, Drive, Docs, and Sheets.
  • Experience using Slack, Zoom, and related collaboration tools.
  • Experience preparing executive reports, presentations, briefing materials, and customer communications.
  • Strong written and verbal communication skills.
  • Exceptional attention to detail and accuracy while operating at pace.
  • Ability to prioritize work, manage weekly deliverables, and elevate blockers appropriately.
  • Good judgment to triage, prioritize, and elevate issues.
  • Ability to manage recurring reporting and metrics processes with minimal oversight.
  • Working knowledge of AI productivity tools and their application to operational efficiency.
  • Experience using AI for meeting transcription, summarization, organization, content creation, and administrative workflows.
  • Ability to review and audit AI-generated content for accuracy and context.
  • Ability to identify automation opportunities to streamline operational processes.
  • Bachelor’s degree in Business, Finance, Marketing, or related field.
  • PMP certification.
