The AAAAI is a professional medical society seeking a Program Manager to provide high-level management of grants and awards and coordinate initiatives aligned with the AAAAI's strategic plan. Located in downtown Milwaukee, this exempt, full-time role requires 37.5 hours weekly, on-site work at least two days, occasional travel, and strong collaboration with committees and leadership.

Qualifications

  • 3-4 years of experience in association and program management is preferred.
  • Outstanding interpersonal, organizational, and communication skills; computer proficiency.

Responsibilities

  • Serve as liaison to the Awards Committee, managing AAAAI honorary awards and supporting Awards Luncheon.
  • Coordinate meetings and conference calls, approve minutes and reports for the Board, and provide administrative duties.
  • Liaise with the AAAAI Division Directors Committee, manage Academic Leaders Meetings content and committee goals.
  • Support grant review processes, respond to inquiries, review analyses, and oversee online application and review processes.
  • Maintain AAAAI awards and grants web pages and coordinate with the Foundation website.
  • Oversee the International Travel Grant Scholarship including application and reimbursements.
  • Develop and implement the Faculty Development Program and participate in committee discussions.
  • Attend AAAAI Foundation Council meetings to support grants and initiatives.
  • Support other AAAAI committees as needed to achieve objectives and organize meetings.

The American Academy of Allergy, Asthma & Immunology (AAAAI) is a professional medical society dedicated to advancing the knowledge and practice of allergy, asthma and immunology. With more than 7,000 members worldwide, AAAAI supports education, research, clinical care and advocacy to improve patient outcomes. Its work includes publishing leading scientific journals, hosting an annual scientific meeting, providing continuing medical education, advocating for issues impacting physician practice, funding research through its Foundation, and offering resources and tools for both clinicians and the public.

The Research and Training Division of the AAAAI promotes awareness of A/I research and training programs, while expanding access to educational and financial resources that support growth within the field. To foster long-term engagement and leadership within the A/I field, the Division advances career pathway development initiatives. Through awarding grants, honorary awards and travel scholarship opportunities, the Division strives to advance the field of allergy/immunology.

The AAAAI Foundation is the philanthropic arm of the American Academy of Allergy, Asthma & Immunology with a mission of funding research that leads to the prevention and cure of asthma and allergic and immunologic disease. Separately incorporated from the AAAAI, the Foundation grants major Faculty Development Awards annually to young investigators working in the Allergy/Immunology field.

JOB OVERVIEW:

The Program Manager provides high-level program management to the American Academy of Allergy, Asthma & Immunology’s (AAAAI) and AAAAI Foundation grants and awards program, in support of physicians in academic practice and A/I research. In addition, this position is responsible for management and coordination of other initiatives aligning with the strategic plan and objectives set forth by the AAAAI.

POSITION RESPONSIBILITIES (minimum of 37.5 hours/week):
  • Serve as liaison to the Awards Committee, managing AAAAI honorary awards (and Awards Luncheon during Annual Meeting) and providing support as needed including organizing meetings and conference calls, approving minutes and reports for the Board, and other administrative duties as needed.
  • Serve as liaison to the AAAAI Division Directors Committee, managing the development of the Academic Leaders Meetings, overseeing content on Basecamp; ensuring achievement of committee goals and objectives, providing direct administrative support for meetings, conference calls, minutes, and reports to the Board.
  • Serve as liaison to the Grant Review Committee. Coordinate grant application development, respond to applicant inquiries in a timely manner, and review committee analysis, selection, and presentation. Provide oversight of the online application and review process (application processing, payment processing and progress and financial reporting) for all AAAAI Foundation and AAAAI grants and awards. Organize and manage AAAAI Annual Meeting activities centered on the above-mentioned programs.
  • Maintain AAAAI awards and grants section of www.aaaai.org and work with the Foundation Development Manager to maintain the AAAAI Foundation website www.aaaaifoundation.org.
  • Manage and oversee the International Travel Grant Scholarship Grant to include the online application and review system, applicant correspondence, and scholarship reimbursements.
  • Manage and oversee the development and implementation of the Faculty Development Program.
  • Occasional attendance at AAAAI Foundation Council meetings for discussions related to grants.
  • Serve as liaison to various assigned AAAAI committees and provide support as needed to achieve objectives, organize meetings, conference calls, and approve minutes and reports.
  • Other duties as assigned.
EDUCATION/EXPERIENCE:
  • 3-4 years of experience in association and program management is preferred.
  • Outstanding interpersonal, organizational, and communication skills; computer proficiency.
TRAVEL REQUIRED:

Approximately 1-2 weeks per year; occasional evening and weekend work required.

WORK ENVIRONMENT:

This is a full-time position is located in our office in downtown Milwaukee, WI and a minimum of two days on-site in the office (including Wednesday as an all-staff-in-office day) are a requirement of the role.

PHYSICAL REQUIREMENTS:

Unrestricted mobility: must be able to walk great distances, move quickly from place to place, and lift and move 30-lb boxes.

ADDITIONAL INFORMATION:

Travel to and attendance at the AAAAI Annual Meeting, Faculty Development Program (biennial) and Academic Leaders Meeting (annual) and participation in occasional early morning or evening committee conference calls is required for this position.
