Job summary

Texas A&M University System is seeking a highly organized Program Manager to oversee scholarships, grants, and alumni engagement within the Texas 4‑H Foundation. This leadership role administers one of the state's largest youth scholarship programs and coordinates donor engagement across the state.

Qualifications

  • Bachelor’s degree or equivalent combination of education and experience.

  • Knowledge of word processing and spreadsheet applications.

Responsibilities

  • Manages all aspects of the Texas 4-H Foundation scholarship program from application through award distribution and follow-up.
  • Coordinates scholarship application timelines, eligibility verification, and review processes.
  • Communicates with applicants, families, county Extension agents, and scholarship donors.
  • Coordinates scholarship scoring, selection meetings, and scholarship award notifications.
  • Maintains scholarship records, donor requirements, and compliance documentation.
  • Coordinates scholarship recognition activities and events.
  • Works collaboratively with accounting staff to ensure timely scholarship payments and reporting.
  • Oversees the Foundation’s grant programs, including application management, review coordination, tracking, reporting, and follow-up.
  • Assists in developing grant guidelines, timelines, evaluation criteria, and impact reporting.
  • Coordinates communication with grant recipients and reviewers.
  • Oversees and helps grow the Texas 4-H Foundation alumni program statewide.
  • Develops strategies to increase alumni engagement, participation, and giving.
  • Coordinates alumni outreach efforts, events, communications, and recognition programs.
  • Assists in building long-term relationships with alumni and volunteer leaders.
  • Works collaboratively with Foundation leadership to strengthen alumni participation in Foundation programs and fundraising efforts.
  • Coordinates the annual "4 Under 40" recognition program.
  • Manages nominations, selection coordination, communications, marketing materials, and event logistics.
  • Works with alumni, donors, and Foundation leadership to promote the program statewide.
  • Coordinates the development, administration, and growth of the Foundation’s "100 Women" initiative.
  • Coordinates membership communications, donor engagement, events, and recognition activities.
  • Maintains accurate donor and participation records.
  • Leads the coordination and production of the Foundation’s annual report.
  • Gathers program statistics, donor information, financial summaries, stories, and impact narratives.
  • Coordinates with designers, printers, staff, and leadership to ensure timely publication.
  • Assists with donor stewardship and alumni engagement activities.
  • Supports Foundation events, meetings, and fundraising initiatives.
  • Prepares reports, presentations, and program summaries for leadership and the Board of Trustees.

About Texas 4-H Youth Development Foundation

The Texas 4-H Youth Development Foundation, established in the early 1950s and incorporated in 1962 as a 501(c)(3) non-profit, is dedicated to recognizing superior achievement and service among Texas 4-H members and volunteers. Position Information

The Texas 4-H Foundation is seeking a highly organized, mission-driven, and relationship-focused professional to serve as Program Manager overseeing scholarships, grants, and alumni engagement. This leadership position plays a critical role in administering one of the largest youth scholarship programs in Texas while also coordinating several high-profile leadership, alumni, and donor engagement initiatives.


The ideal candidate will possess strong project management skills, exceptional communication abilities, attention to detail, and a passion for supporting youth leadership and educational opportunities across Texas.


The Program Manager is responsible for overseeing the administration, coordination, and implementation of the Texas 4-H Foundation scholarship program; several strategic Foundation initiatives including serving as lead staff member responsible for helping grow and strengthen the Foundation’s alumni engagement efforts across the state; and administering the Foundation’s grant program.


The position works closely with students, alumni, donors, volunteers, board members, Texas A&M AgriLife Extension faculty and staff, and external partners to ensure programs are administered professionally, efficiently, and with exceptional customer service.
