Schmidt Sciences is a nonprofit organization founded in 2024 by Eric and Wendy Schmidt that works to accelerate scientific knowledge and breakthroughs with the most promising, advanced tools to support a thriving planet. The organization prioritizes research in areas poised for impact including AI and advanced computing, astrophysics, biosciences, climate, and space—as well as supporting researchers in a variety of disciplines through its science systems program.

The Role

We are seeking a driven and detail-oriented Program Delivery Analyst who will play a central role in supporting key operations across the Bioscience Center relating to program and grants management; helping to process and track gifts and grants throughout their lifecycle; and assist the awardee community as appropriate. The Analyst will support both new and existing programs within the Bioscience Center and work with the Schmidt Science Communications team on contracts, grants management, and outreach coordination activities. Reporting to the Biosciences Manager of Program Delivery.

The Program Delivery Analyst’s role will include:

  • Grants Administration: Working as a key member of the Biosciences Center team and in partnership with our finance, grants management, and legal teams, the Program Delivery Analyst will support grants administration across the bioscience portfolio and a small microawards program within the communications department.
  • Operations Management: The Program Delivery Analyst will help support the Bioscience Center's and Communications Departments' strategic plans by providing operational support to specific programs and across the Center.
  • Stakeholder Collaboration, Engagement, and Communication: Coordinating with internal teams (e.g., communications, legal, finance) and external stakeholders—including academic institutions, awardees, and science advisory board members to build community, track progress, and optimize impact.
Key Grants Administration Responsibilities
  • Input and maintain accurate grants and gifts data in the grants management system, including timely data entry and updates across Bioscience programs and the communication team microawards.
  • Support due diligence processes for grants and gifts, including documentation review and coordination with internal teams (finance, legal, and grants management teams).
  • Assist with implementing internal processes during program launch, selection, and award phases, including budgets, contracting, and grant administration.
  • Contribute to financial tracking and reporting by supporting budget documentation, milestone tracking, and outcome documentation.
  • Cross-Functional Collaboration: Facilitate seamless collaboration with key stakeholders, including Communications, Community, Grants Management, Legal, Accounting, and Finance teams, to optimize the impact of the Bioscience team's endeavors.
  • Support Direct Project Expenditure (DPE) tracking—including contracts, travel, and reimbursements.
  • Ensure team understanding of and compliance with internal processes during program implementation, including budgets, contracting, and grant administration.
Key Operations Management Responsibilities
  • Working in collaboration with Bioscience Center colleagues, support tracking and synthesis of project data across all Center initiatives, including collating reports, key outcomes, and data to accurately assess impact.
  • Develop and refine operational tools, templates, and process tracking systems across the Bioscience and Communications portfolio.
  • Maintain accurate awardee and reporting data within internal tracking systems.
  • Assist in the selection and award process, including organizing application materials and supporting award execution steps.
  • Assist with awardee-centered events and convenings.
  • Oversee the inventory and distribution tracking for the Communications team’s promotional merchandise.
  • General project management and scheduling for the Communications team.
  • Assist with routine CMS updates and partial website management, including uploading and maintaining cohort photos, biographies, and other standardized web content.
Key Stakeholder Collaboration, Engagement, and Communication Responsibilities
  • Provide awardee and science advisory board community management and support.
  • Align and work closely with internal stakeholders to support Schmidt Sciences' goals
  • Create and coordinate program communications, including arranging meetings with awardees and advisory board members as needed.
  • Work with our communications team to develop materials to publicize the accomplishments and impact of our Bioscience awardees.
  • Support the program and community team in event planning and execution of convenings and other events
  • Be familiar with and an advocate for awardee needs and problems, and serve as the first point of contact with awardees for resolving operational, administrative, and financial issues.
  • Analyze feedback to identify trends and areas for improvement (e.g., processes, tracking, metrics), and work with the team to implement changes that enhance community engagement and satisfaction.
Knowledge, Skills, and Abilities
  • Strong organizational and project coordination skills, with attention to detail and follow-through across multiple concurrent workstreams.
  • Experience supporting or managing collaboration across multiple internal and external stakeholders, including comfort with matrix reporting structures.
  • Demonstrated ability to manage both tactical execution and strategic documentation simultaneously—this role requires holding both levels at once.
  • Familiarity with awardee engagement or support, including coordinating events, communities, or convenings.
  • Excellent interpersonal skills and ability to work collaboratively across cross-functional teams.
  • Clear written and verbal communication skills, including the ability to draft awardee-facing and partner-facing communications.
  • Self-starter with the ability to take ownership of tasks and drive execution with limited oversight.
  • Skilled at coordinating workstreams across stakeholders, partners, and internal teams.
  • Interest in and ability to quickly learn and navigate grant management systems (GMS); familiarity with Salesforce or similar platforms is a plus.
  • Proficiency with virtual event platforms (Zoom Webinars, Teams Live, or equivalent)
  • Familiarity with Airtable or similar project tracking platforms.
  • A familiarity with the life sciences, biosciences, or science policy landscape—especially key universities, national labs, and nonprofits is a plus.
Requirements
  • 1-2 years of experience in an operational, grants, or program management/delivery type function.
  • A bachelor’s degree or equivalent from an accredited institution.
  • Proven capability of working with multiple teams to support the management of large awardee portfolios to achieve specified outcomes.
  • Values-based, collaborative working style with demonstrated commitment to the highest standards of ethics, integrity, and confidentiality.
  • Based in the New York Schmidt Sciences office and be able to travel within the U.S. and internationally as needed, following company policy.

$43.27 - $52.88 an hour

This is a non-exempt position.
