Job summary

Phipps Neighborhoods is seeking a hands-on Program Coordinator to manage enrollment, attendance, engagement, and outcomes for workforce development initiatives in the Bronx, NY. On-site role with strong collaboration across teams.

The candidate will develop efficient workflows, ensure compliance with funding requirements, and report progress to leadership and funders. Prior experience in labor market analysis and partner coordination is desired.

Qualifications

  • Minimum of a High School Diploma or equivalent; Associate's Degree preferred.
  • At least 2 years of experience in program coordination, workforce development, education, or related administrative roles.
  • Strong organizational skills with ability to manage multiple tasks and meet deadlines.
  • Proficiency in Salesforce, Microsoft Office Suite, and Google Workspace; SharePoint experience is a plus.
  • Excellent written and verbal communication skills.

Staff Support & Team Management

  • Coordinate with and support Case Managers, Retention Coordinators, Outcomes Specialists, Employer Engagement, facilitators, interns, and administrative staff to ensure that participants and program needs are being met.
  • Provide ongoing observation and feedback, oversight and performance management to strengthen staff effectiveness and professional development.
  • Ensure staff utilize client-centered, trauma-informed, and participant-focused approaches to service delivery.
  • Participate in regular team meetings, case conferences, and workflow coordination across departments.

Participant Services & Retention

  • In collaboration with Case Management, Program Director, Employer Engagement, Retention Coordinator, Outreach Manager, & Program facilitators oversee participant engagement, retention, and supportive service strategies to improve program completion and employment outcomes.
  • Ensure participants receive appropriate wrap‑around services, referrals, incentives, stipends, transportation assistance, and other allowable supports.
  • Oversee post‑placement retention services, employer follow‑up, alumni engagement, and milestone tracking.
  • Support intervention planning for participants experiencing barriers to engagement, training completion, or employment retention.
  • Ensure staff maintain regular communication with participants and employers to support successful outcomes.

Compliance & Data Management

  • Monitor program data and documentation to ensure compliance with WIOA, DYCD, and other funder requirements.
  • Conduct regular audits of participant files, case notes, retention documentation, and database records to ensure accuracy and compliance readiness.
  • Utilize Salesforce, SharePoint, and internal tracking systems to monitor participant activity, program performance, and outcome benchmarks.
  • Ensure timely and accurate data entry, reporting, and submission of required documentation including participant medicals.
  • Complete, review and submit incident reports within 48 hours of occurrence.

Program Coordination & Operations

  • Oversee coordination of recruitment, orientations, professional development, workshops, graduations/culminating events, hiring events, alumni activities, and employer engagement events.
  • Collaborate with Outreach, Employer Engagement, Case Management, Retention, and Operations teams to ensure alignment of program goals and services.
  • Support recruitment, intake, and enrollment efforts to ensure programs meet contractual participation targets.
  • Build and maintain partnerships with employers, training providers, community organizations, and social service agencies to expand participant opportunities and resources.
  • Conduct bi‑weekly or monthly meetings with program partners.
  • Facilitate internship placements in collaboration with Employer Engagement and Case Management.
  • Complete site visits to program and internships sites as needed.
  • Perform other administrative and program support duties as assigned.

Qualifications

  • Minimum of an HSD/HSE (High School Diploma/Equivalency); Associate's Degree preferred.
  • At least 2 years of experience in program coordination, workforce development, education, or related administrative roles.
  • Strong organizational skills with proven ability to manage multiple tasks, prioritize by tier (compliance/data > intake/events > admin), and meet deadlines.
  • Proficiency in Salesforce, Microsoft Office Suite, and Google Workspace; SharePoint experience a plus.
  • Excellent written and verbal communication skills.

Pay Rate: $50,000 - $52,000 annually commensurate to experience and education
