Job summary

University of Chicago Medicine is seeking a Program Coordinator for the Pulmonary Hypertension department. The role is onsite in the greater Chicagoland area with a 2‑day per week onsite requirement. The candidate will support patient coordination, test scheduling, and PHAR registry management.

The position emphasizes administrative leadership, LMS administration, and engineering of efficient processes to enhance the employee experience within the Heart & Vascular Admin unit.

Qualifications

  • BSN required; nursing degree from an approved school.
  • 3–5 years progressive organizational development and/or learning and development experience, preferably in healthcare or biomedical environments.
  • Strong communication and customer service skills with a professional approach.
  • Proficient with software, web-based and cloud-based tools including MS Office, Visio, MS Project, and LMS administration.

Responsibilities

  • Handle incoming calls, PH pool inbox, and PHAR emails; triage patient concerns and requests.
  • Coordinate PH program activities and enrollment for inpatients and outpatients.
  • Assist with inpatient prostacyclin initiation/continuation and education.
  • Schedule diagnostic testing and maintain PHAR database; ensure timely scheduling.
  • Provide admin support to Director and department; develop LMS materials and manage web pages.

Job Description

Be a part of a world-class academic healthcare system, University of Chicago Medicine, as a Program Coordinator in the Pulmonary Hypertension department. This position requires you to work onsite 2 days per week. You will need to be based in the greater Chicagoland area.

Essential Job Functions
  • Address incoming phone calls (call center), epic in-basket (PH pool) and PPH email inbox
  • Timely triage of patient concerns, symptoms and requests
  • PH specific medication prior authorization and the follow up appeal, if required
  • PH specific medication enrollment process (for both outpatients and inpatients) and the subsequent maintenance requirements
  • Assisting with inpatient parenteral prostacyclin initiation or continuation of already established parenteral prostacyclin for patients admitted to the hospital
  • Inpatient/Outpatient patient education on home parenteral prostacyclin management, central line and subcutaneous site care, importance of medication compliance
  • Diagnostic testing scheduling : Following up that other diagnostic testing is appropriately scheduled by clinic coordinator staff. If not, facilitate timely scheduling.
  • Maintain internal pulmonary hypertension database PHAR registry
  • Manages the logistical and administrative work to ensure all programs run smoothly in a cost-effective and efficient manner.
  • Develop e-learning materials, administer LMS, and maintain the web page for the Talent and Organization Capability department.
  • Provide administrative support for the Director and the department team members.
  • Implement processes and practices to provide an ideal employee experience for all participants.
  • Maintain records for attendance, program evaluations, expenses, and vendor tracking.
  • Performs other duties as requested.
Required Qualifications
  • Graduate of an approved school of nursing; BSN required.
  • A minimum of 3-5 years’ progressive organizational development professional and/or learning and development,
  • preferably in an educational, healthcare, or biomedical environment.
  • Extensive skill and practical use of software, web-based, and cloud-based applications including MS Office, Visio, MS Project, and LMS Administration.
  • Exemplary communication and customer service skills with proven experience.
