Job summary

Harborview Medical Center is seeking a Full-time Days Program Coordinator/Scheduler to support referrals, triage, and patient scheduling in a busy clinical setting. The role is 100% FTE for days with Monday–Friday 8:00am–4:30pm and occasional telework, serving patients and providers across UW Medicine.

Responsibilities include reviewing referrals, coordinating appointments, assisting with insurance authorizations and financial counseling, and educating patients on follow-up care.

Qualifications

  • High school graduation or equivalent and two years of experience in the program specialty.
  • Equivalent education/experience may substitute for minimum qualifications.

Responsibilities

  • Review and prioritize incoming referrals from multiple sources using physician skill sets.
  • Triage referrals to ensure the appropriate specialist reviews them.
  • Handle intake of referral requests and enter data into EMR promptly.
  • Schedule initial patient appointments in person or via Telemedicine as appropriate.
  • Coordinate patient appointments at the proper facility and assist with insurance authorization or financial assistance.
  • Manage high-volume phone inquiries and messages.
  • Educate patients on appointment purpose and follow-up recommendations.
  • Offer financial counseling steps to self-pay/underinsured patients.
  • Build provider schedules and act as a program contact across departments.

Primary Responsibilities
  • Review and prioritize incoming referrals from multiple sources using their knowledge of each physician’s specialized skill set
  • Triage incoming referrals to assure the appropriate specialist will be reviewing referrals
  • Handle intake of each referral requests, ensuring complete information is received and entered into the electronic medical record system in a timely manner
  • Schedule initial patient appointments either in person or via Telemedicine based on provider and patient preference
  • Coordinates appointments for the patient at the appropriate facility and assists with urgent insurance authorization or financial assistance
  • Manage and resolve a high volume of phone inquiries and messages
  • Review appointment follow-up requirements and expectations with patients Educate them to ensure adequate understanding of the purpose of each appointment and follow-up recommendations
  • Offer financial assistance to self-pay and underinsured patients. Provide them with the necessary steps to apply for financial counseling
  • Building provider schedules
  • Serve as a primary program contact to other departments, patients, providers outside facilities
  • Other assigned duties
Requirements
  • High school graduation or equivalent AND two years of experience in the program specialty OR
  • An equivalent of education/experience
  • Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration
Preferred Experience
  • Experience in a Dermatology clinic setting
