Job summary

InterExchange is seeking a part-time Program Coordinator based in downtown Manhattan to serve as the first point of contact for prospective interns and host employers, educating them about the program and visa sponsorship.

You will coach participants and hosts through the application process, screen applications, and guide in-country experiences, while collaborating with colleagues to ensure participants are happy and safe and that the program complies with regulations.

Qualifications

  • Demonstrated experience in administrative and/or customer service roles.
  • Strong motivation to proactively identify opportunities and address potential challenges.
  • Ability to express ideas clearly and concisely in verbal and written form.
  • Strong attention to detail, with accuracy and consistency of work, balanced with effective time management.
  • Proficiency in productivity applications (Microsoft/Google Suites), with willingness to learn proprietary software and internal tools.

Responsibilities

  • Provide excellent customer service to prospective applicants and host organizations who inquire about the program.
  • Advise and assist applicants and hosts throughout the visa sponsorship application process.
  • Review applications and screen/interview participants and hosts for eligibility per program regulations.
  • Guide participants and hosts throughout the in-country program, answering questions and providing resources for a successful experience.

Our Career Training USA program promotes professional development and cross-cultural collaboration by helping a diverse group of participants intern or train with U.S. businesses. If you are enthusiastic about supporting work-based learning and are a flexible and diplomatic team player who is ready to learn all aspects of this unique exchange program, we want you to join us!As our new Program Coordinator, you will be the initial point of contact for prospective interns and trainees and their U.S. host employers, educating them about the program and visa sponsorship process. You will coach participants and hosts throughout the application process and take ownership over application decisions. While participants are in-country, you will offer assistance and direct them and their hosts to resources to ensure they have a successful experience. Finally, you will also collaborate with colleagues on the team and across the organization to ensure our participants are happy and safe and that our program doesn’t just adhere to regulations but also provides life-changing cultural exchange experiences.What you'll do:Provide excellent customer service to prospective applicants and host organizations who inquire about the program and use your expertise to provide timely and helpful informationAdvise and assist applicants and hosts throughout the visa sponsorship application process, while encouraging best practices to ensure success and satisfactionReview applications and screen and interview participants and hosts to assess their eligibility for the Career Training USA program, per Department of State regulationsGuide participants and hosts throughout the in-country program, answering questions and highlighting resources for having an exceptional experience in the U.S.Who you are:An enthusiastic self-starter who enjoys working with people of diverse nationalities and culturesA detail-oriented individual who has proven strategies for time-management and prioritizationA problem-solver who can approach issues with compassion and cultural sensitivityA decision-maker who is comfortable guiding others through ambiguous or evolving situationsYour Qualifications Include:Demonstrated experience in administrative and/or customer service roles, either through work or internshipsStrong motivation to proactively identify opportunities and address potential challengesAbility to express ideas clearly and concisely in verbal and written form, adapting to different internal/external audiencesStrong attention to detail, with accuracy and consistency of work, balanced with effective time managementProficiency in productivity applications, i.e., Microsoft/Google Suites, with a willingness to learn our proprietary software and internal communications toolsCompensation:$30 - 35 / hour, based on your level of experienceSchedule & Hours:This is a part-time role, at 20–21 hours per week, with flexibility in how your hours are structured.
