Job summary

InterExchange is seeking a part-time Program Coordinator in New York to support the Career Training USA program. You will serve as the initial contact for applicants and hosts, educate them about the process, and coach them through the visa sponsorship journey.

The role is hybrid (onsite in Manhattan with remote options), at $30–$35/hour for about 20–21 hours weekly. Start date preferred Oct 1, 2026, with a focus on ensuring a smooth, compliant participant experience.

Qualifications

  • Demonstrated experience in administrative and/or customer service roles.
  • Strong motivation to proactively identify opportunities and address potential challenges.
  • Ability to express ideas clearly and concisely in verbal and written form.
  • Strong attention to detail, with accuracy and consistency of work.
  • Proficiency in productivity applications, i.e., Microsoft/Google Suites, with willingness to learn our proprietary software.

  • Advise and assist applicants and hosts through the visa sponsorship application process.
  • Review applications and screen participants and hosts for eligibility per regulations.

Our Career Training USA program promotes professional development and cross-cultural collaboration by helping a diverse group of participants intern or train with U.S. businesses. If you are enthusiastic about supporting work-based learning and are a flexible and diplomatic team player who is ready to learn all aspects of this unique exchange program, we want you to join us!As our new Program Coordinator, you will be the initial point of contact for prospective interns and trainees and their U.S. host employers, educating them about the program and visa sponsorship process. You will coach participants and hosts throughout the application process and take ownership over application decisions. While participants are in-country, you will offer assistance and direct them and their hosts to resources to ensure they have a successful experience. Finally, you will also collaborate with colleagues on the team and across the organization to ensure our participants are happy and safe and that our program doesn’t just adhere to regulations but also provides life-changing cultural exchange experiences.

What you’ll do:
  • Provide excellent customer service to prospective applicants and host organizations who inquire about the program and use your expertise to provide timely and helpful information
  • Advise and assist applicants and hosts throughout the visa sponsorship application process, while encouraging best practices to ensure success and satisfaction
  • Review applications and screen and interview participants and hosts to assess their eligibility for the Career Training USA program, per Department of State regulations
  • Guide participants and hosts throughout the in-country program, answering questions and highlighting resources for having an exceptional experience in the U.S.

Your Qualifications Include:

Compensation:

$30 - 35 / hour, based on your level of experience

Schedule & Hours:

This is a part-time role, at 20–21 hours per week, with flexibility in how your hours are structured. The preferred schedule options are:

  • 4 hours / day, 5 days / week (Mon & Fri remote, Tue - Thu onsite)
  • 7 hours / day, 3 days / week (Tue-Thu,fully onsite)

Hours are scheduled Monday through Friday, between 9:30 AM and 5:30 PM, with flexible start and end times available within that window.

Location:

You’ll be based in our downtown Manhattan office at least Tuesday through Thursday, and additional days may be worked remotely as needed

Start Date:

Preferably as soon as October 1, 2026, depending on your availability.
