Position summary

As Program Coordinator, you are an essential part of a highly collaborative team that executes IFCB Special Programs, including personalized home deliveries, youth nutrition support, holiday gifts, and a partnership with KidVantage. Coordination includes logistics, communication, and outreach with clients and partners. This position is involved in all Special Programs but will largely focus on the operational needs of programs, and management of our home delivery program. Driving staff vehicles (vans and box truck) is required for this position. Applicants must have a clear driving record, pass a background check, and be at least 25 years old to meet the insurance coverage requirements for staff vehicles. Candidates must be self-motivated, detail oriented, organized, and effective at working with diverse volunteers and small teams. The ideal candidate for this role has excellent communication skills, is a creative problem solver, and is committed to providing a high level of customer service. For a program coordinator, success looks like executing projects timely, working collaboratively with coworkers, clients, and stakeholders, helping the department reach goals, demonstrating the ability to support clients accessing services, and organizing and training volunteers to execute programs.

Key responsibilities
  1. Coordinate daily IFCB operations, particularly in regard to Special Programs, including:
    • Lead teams of volunteers in the completion of various tasks.
    • Drive box truck or large van as needed for food/product pickups.
    • Support regular operations of the food bank, including distribution of food in our market.
    • Co-lead one or two evening shopping shifts (11:30 am – 7:30 pm) a month.
    • Assist with setting up and prepping workspaces for home delivery and youth programs.
    • Working closely with the Operations team for daily details and process improvement.
  2. Coordinate program logistics and administrative tasks, including:
    • Serve as primary staff lead during special program events and activities, including appropriate set up, program administration, and needed reset after program completion.
    • Work with Program Supervisor or other staff to place orders, maintain knowledge of current food supplies, and integrate existing inventory for Special Programs.
    • In conjunction with volunteer staff team, ensure appropriate volunteer engagement, staffing, and leadership for program volunteers.
    • Regularly update client home delivery orders.
    • Oversee, track, and report out on program registration.
    • Data entry and administrative program support.
    • Work to ensure efficient procedures for home delivery, order packing and delivery.
    • Develop program fliers, client registration materials, and post-event communications.
    • Assist with tracking and evaluating program performance and outcomes.
  3. Provide excellent communication and customer service across IFCB programs and services.
    • Manage client communications, including responding promptly to client inquiries and assisting clients with IFCB programs and service registration.
    • Assist with answering front door and addressing community members’ emergency needs.
    • Regularly communicate with agency partners on program services and identify new partnership opportunities.
    • Collaborate on improving and refining program and operation procedures.
  4. Develop and maintain positive, collaborative working relationships with team members, volunteers, donors, and other partner agencies.
  5. Perform other duties as assigned by the manager and attend training as required.
Qualifications
  • Associate or bachelor’s degree and two (2) years of program coordination or customer service experience preferred. In lieu of a degree, relevant experience considered.
  • Applicants must have a valid driver’s license, clean driving record, pass a driving and criminal background check, and be at least 25 years old to meet the insurance coverage requirements for staff vehicles.
  • Must be able to lift up to 50 pounds on a regular basis. This is a physically rigorous position in a busy office and warehouse environment, and occasionally in adverse weather conditions.
  • Strongly desired:
    • Bilingual in Spanish, Mandarin, Russian or Ukrainian.
    • Experience with operating a pallet jack, or willingness to learn.
    • Experience driving a box truck and large van, or willingness to learn.
    • Experience working in a food pantry or similar operation.
Knowledge, skills, and abilities

  • Commitment to quality customer service.
  • Excellent written, verbal, and interpersonal skills.
  • Ability to work effectively with a diverse community of staff, volunteers, and clients.
  • Exercise good judgement and discretion, maintain confidentiality of clients, colleagues, and agency.
  • Ability to plan, initiate, and manage multiple tasks despite frequent interruptions with accuracy, flexibility, and professionalism.
  • Work as part of a team, as well as work independently with minimal supervision.
  • Proficiency with Microsoft Office Word, Excel, and Outlook.
