Duties & Responsibilities

Virginia Commonwealth University (VCU) School of Medicine is a premier academic medical center located in the heart of Richmond. Accounting for almost half of VCU’s sponsored research, the School of Medicine is internationally recognized for patient care and education.

Position Summary:

Thisposition supports the Assistant Dean for Graduate Recruitment and Admissionsalong with the Assistant Dean for Master’s Recruitment and Admissions by,respectively, coordinating the activities of theBiomedical Sciences Doctoral Portal (BSDP) and the Master’s student admissionand recruitment effort. This position collaborates with the two AssistantDeans, the Director of the Premedical Health Sciences Certificate program, theSenior Associate Dean for Graduate Education and others in the Office ofGraduate Education to market graduate training opportunities to prospectiveapplicants. Additionally, this position serves as Slate admissions liaison forthe Office of Graduate Education and supports the office at times of peak need.

The position’s responsibilities will be executed on-site for at least the firstsix months of employment, with the potential for remote work arrangements thereafter.

Responsibility1 (55%): Support the Assistant Dean for Graduate Recruitment and Admissions(ADGRA) in administration of the Biomedical Sciences Doctoral Portal: In coordination with the ADGRA,organize, prioritize and manage the administrative logistics that support BSDPapplication review, in-person and virtual interviews, decision communicationprocesses for all BSDP applicants, as well as recruitment and on-boarding ofadmitted students. Ensure timely payment/reimbursement of lodging,transportation, and catering service expenses incurred during the applicantinterview process. Compile and distribute relevant data to assist the ADGRA andthe BSDP application review committee members in their decision-makingprocess. In collaboration with theADGRA, organize and execute the BSDP cohort milestone events such asorientation and meet the mentor day, laboratory rotation assignments,colloquia, and professional development workshops. Serve as the central pointof contact between students, faculty and staff associated with the BSDP. Compileand maintain data on the academic progress of BSDP students. Provide logisticalsupport to current and former BSDP students as needed. Originate academictransactions for BSDP students such as transition forms and special actionforms.

Responsibility2 (20%): Support the Assistant Dean for Master’s Recruitment and Admissions(ADMRA) by assisting with marketing, recruitment and admissions for MS programs: In coordination with the ADMRA, provide logisticalsupport for MS program admissions and recruitment such as compiling applicationstatus data, tracking enrollment data and scheduling meetings for the ADMRAwith MS program and departmental leadership. Coordinate communication betweenthe ADMRA and all MS program students, faculty, program directors andadmissions directors.

Responsibility 3 (20%): Coordinatewith twoAssistant Deans, the Director of the Premedical Health Sciences Certificateprogram, the Senior Associate Dean for Graduate Education and others in theOffice of Graduate Education to market graduate training opportunities toprospective applicants: By working with theADGRA, ADMRA, the SADGE and others in the Office of Graduate Education, thisposition (i) helps develop an overall marketing strategy for School of Medicinegraduate programs, (ii) delivers marketing of MS programs by developingmaterials such as digital assets, ensuring digital assets align with VCUstandards, coordinating approval of digital assets by VCU, working with outside vendors to launchdigital marketing campaigns, launching in-house digital marketing efforts, andtracking campaign effectiveness through specific metrics, and (iii) contributesto web site updates related to program marketing including development of newcontent and revisions.

Responsibility 4 (5%): Serve as the internal admissionsliaison for the Office of Graduate Education and supports overall office atpeak times. Servesas the liaison for a web-based admissions system for all School of Medicinegraduate programs. Contributes to activity within the Office of GraduateEducation regarding one-time tasks such as student events, data collection, andcommunication.

QualificationsMinimum Qualifications:
  • Ability to work independently and as part of a team as required by assigned tasks.
  • Demonstrate good judgment and professional interpersonal skills.
  • Experience providing administrative or programmatic support in a professional office setting.
  • Ability to manage executive-level calendars, schedule meetings, coordinate logistics, and resolve scheduling conflicts with professionalism.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and the ability to learn and navigate other administrative systems or databases.
  • Strong written and verbal communication skills, with the ability to interact professionally with diverse internal and external stakeholders.
  • Demonstrated ability to manage multiple tasks, prioritize workload effectively, and meet deadlines with accuracy and attention to detail.
  • Commitment to maintaining confidentiality and handling sensitive information appropriately.
  • Familiar with or ability to learn about website content management and social media platforms.
  • Ability to multi-task and work in a fast-paced environment.
  • Demonstrated experience working in and fostering an environment of respect, professionalism and civility with a population of faculty, staff, and students from various backgrounds and experiences, or a commitment to do so as a staff member at VCU.

Preferred Qualifications:

  • Associates or bachelor’s degree in a field related to administration, business, marketing or the biomedical sciences.
  • Experience working in a university setting or related field.
  • Familiarity with graduate training.
