Virginia Commonwealth University is seeking a candidate to support graduate recruitment and admissions in the School of Medicine. The role involves coordinating activities for the Biomedical Sciences Doctoral Portal and assisting with MS programs. Position Summary:
This position supports the Assistant Dean for Graduate Recruitment and Admissions along with the Assistant Dean for Master's Recruitment and Admissions by, respectively, coordinating the activities of the Biomedical Sciences Doctoral Portal (BSDP) and the Master's student admission and recruitment effort. This position collaborates with the two Assistant Deans, the Director of the Premedical Health Sciences Certificate program, the Senior Associate Dean for Graduate Education and others in the Office of Graduate Education to market graduate training opportunities to prospective applicants. Additionally, this position serves as Slate admissions liaison for the Office of Graduate Education and supports the office at times of peak need.
The position's responsibilities will be executed on-site for at least the first six months of employment, with the potential for remote work arrangements thereafter.
Responsibility 1 (55%): Support the Assistant Dean for Graduate Recruitment and Admissions (ADGRA) in administration of the Biomedical Sciences Doctoral Portal: In coordination with the ADGRA, organize, prioritize and manage the administrative logistics that support BSDP application review, in-person and virtual interviews, decision communication processes for all BSDP applicants, as well as recruitment and on-boarding of admitted students. Ensure timely payment/reimbursement of lodging, transportation, and catering service expenses incurred during the applicant interview process. Compile and distribute relevant data to assist the ADGRA and the BSDP application review committee members in their decision-making process. In collaboration with the ADGRA, organize and execute the BSDP cohort milestone events such as orientation and meet the mentor day, laboratory rotation assignments, colloquia, and professional development workshops. Serve as the central point of contact between students, faculty and staff associated with the BSDP. Compile and maintain data on the academic progress of BSDP students. Provide logistical support to current and former BSDP students as needed. Originate academic transactions for BSDP students such as transition forms and special action forms.
Responsibility 2 (20%): Support the Assistant Dean for Master's Recruitment and Admissions (ADMRA) by assisting with marketing, recruitment and admissions for MS programs: In coordination with the ADMRA, provide logistical support for MS program admissions and recruitment such as compiling application status data, tracking enrollment data and scheduling meetings for the ADMRA with MS program and departmental leadership. Coordinate communication between the ADMRA and all MS program students, faculty, program directors and admissions directors.
Responsibility 3 (20%): Coordinate with two Assistant Deans, the Director of the Premedical Health Sciences Certificate program, the Senior Associate Dean for Graduate Education and others in the Office of Graduate Education to market graduate training opportunities to prospective applicants: By working with the ADGRA, ADMRA, the SADGE and others in the Office of Graduate Education, this position (i) helps develop an overall marketing strategy for School of Medicine graduate programs, (ii) delivers marketing of MS programs by developing materials such as digital assets, ensuring digital assets align with VCU standards, coordinating approval of digital assets by VCU, working with outside vendors to launch digital marketing campaigns, launching in-house digital marketing efforts, and tracking campaign effectiveness through specific metrics, and (iii) contributes to web site updates related to program marketing including development of new content and revisions.
Responsibility 4 (5%): Serve as the internal admissions liaison for the Office of Graduate Education and supports overall office at peak times. Serves as the liaison for a web-based admissions system for all School of Medicine graduate programs. Contributes to activity within the Office of Graduate Education regarding one-time tasks such as student events, data collection, and communication.
